Job Description

DESCRIPTION

The Department of Anesthesiology employs over 200 academic and staff personnel and has an annual operating budget of $40 million in annualized resources between Practice Plan Revenues, VAMC funding, Hospital and Medical Group Funding, UC Foundation, Research Sources and School of Medicine Funds. There are over 80 clinical faculty, 12 Ph.D, faculty and post docs, 41 residents, 16 clinical fellows, 27 Certified Nurse Anesthetists, 1 Physician Assistant and four bargaining units represented. The Department provides Clinical Anesthesia, Critical Care and Pain Services at Hillcrest, Thornton, Shiley, Children's and the VAMC. The Department operates a Pain Clinic at Perlman. The Department's research programs include bench and clinical research programs located at the VAMC, MTF, CTF, BSB, Hillcrest, Thornton and Sanford Consortium for Regenerative Medicine.

Under supervision, the Administrative Assistant will provide clerical and administrative support. Duties include maintaining routine calendar, scheduling meetings, arranging for routine audio visual and other equipment, assisting with preparing manuscripts, scientific and technical reports, and proofing for spelling and grammar. Perform other duties and special projects of a clerical and administrative nature as assigned.

MINIMUM QUALIFICATIONS
  • General office and administrative experience. General math skills to review budgets.

  • Demonstrated ability to use Microsoft Office, including PowerPoint, Excel, Word, and Outlook. Ability to use SoftMax and Prism software.

  • Basic knowledge of database applications and ability to update and maintain spreadsheets as needed. Experience working on data entry.

  • Ability to communicate clearly and effectively on the phone, via email, and in person with individuals of diverse educational levels and cultural backgrounds.

  • Demonstrated ability to write clear and accurate correspondence and assist in the preparation of manuscripts, including close attention to detail, correct spelling and proper usage of grammar with ability to proofread own work.

  • Demonstrated experience with academic manuscripts and extramural support.

  • Ability to organize and prioritize work with a diverse set of responsibilities and frequent deadlines.

  • Familiarity with manuscripts and ability to perform literature search

  • Data organization and processing with GraphPad/Prism and Microsoft Excel

  • Demonstrated interpersonal skills, including tact, diplomacy and flexibility, with the ability to interact effectively with a diverse group.

  • Ability to take meeting minutes and produce a written document for distribution.

  • Record keeping and data entry ability with attention to detail and accuracy.

  • Familiarity with scientific and/or medical terminology to read and edit scientific articles and papers.

  • Basic knowledge of database applications and ability to update and maintain spreadsheets as needed.

  • Experience working in an office/administrative setting, preferably in a college or university environment.

PREFERRED QUALIFICATIONS
  • Familiarity with grant submission process and travel arrangements and reimbursement processing.

  • Proficient in GraphPad Prism & Excel for data analysis.

Pay Transparency Act

Annual Full Pay Range: $33,900 - $61,784 (will be prorated if the appointment percentage is less than 100%)

Hourly Equivalent: $16.24 - $29.59

Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
