Institutional Effectiveness and Strategic Planning leads strategic planning at Santa Fe College (SF), as well as integrated processes of planning and assessment for continuous improvement of academic programs, student support services, and operations.

The Coordinator for Institutional Effectiveness and Assessment advances institutional processes and practices that support student retention and achievement through continuous improvement and efficient operations, as well as compliance with institutional accreditation standards. The Coordinator is responsible for administering SF’s assessment management and student success and retention systems and takes the lead in configuring systems that support innovation and actionable data. As the primary administrator of Institutional Effectiveness systems, the Coordinator collaborates with internal stakeholders to develop and maintain EAB Navigate, SF’s early alert system, and implements system enhancements that support strategic initiatives and provide timely support and training to user groups. Additionally, the Coordinator supports SF’s centralized institutional planning database, Outcomes, Planning, and Assessment (OPA) by mining data and auditing the system for continual compliance and identifying opportunities to improve unit, program, and institutional planning.

Job Description

Responsibilities and Duties Include:

  • Works collaboratively with faculty and staff in the development, reporting, and analysis of outcomes assessment activities in order to improve/enhance student learning and college operations.

  • Partners with internal and external stakeholders, system users, and administrators to assess strategic use of systems, drive system enhancements, expedite resolution of issues, and improve input of and access to actionable data.

  • Compiles and reports compliance, usage, and student outcomes data visualizations for strategic planning and evaluation purposes and to inform decision-making and action planning.

  • Extracts, manipulates, and processes data utilizing a variety of resources, aligns analyses with the strategic objectives of the college, and provides advice on implications of results.

  • Confers with faculty and administration to determine issues and needs related to institutional effectiveness and assessment; implements and analyzes research studies.

  • Provides support for the development and implementation of institutional survey and academic program assessment processes.

  • Serves as a primary administrator of EAB Navigate, leads the cross-divisional leadership team and oversees the work of processing and workflow development.

  • Shares evidence-based practices that increase and/or accelerate student achievement, advance process improvements, and enhance EAB Navigate.

  • Provides timely support and training to user groups, including creating and maintaining documents, videos, and web resources; organizes vendor training when necessary.

  • Tests system development changes and updates prior to implementation to ensure issues are addressed appropriately; supports user review of alternative systems prior to software renewal.

  • Assists with the planning and hosting of college workshops, seminars, and events related to institutional effectiveness and assessments.

  • Supports the development, implementation, and evaluation of the Strategic Plan as it relates to institutional effectiveness and assessment.

  • Analyzes documents within the assessment management platform, including annual planning unit reviews and triennial program reviews, to compile institutional effectiveness reports and support strategic plan assessment for the Resource and Planning Council.

  • Partners with Information Technology Services (ITS) and Institutional Research (IR) to ensure appropriate data management and analysis operations, including data and analytics reliability and accessible reporting.

  • Supports Institutional Effectiveness and Strategic Planning events by processing and transcribing participant artifacts into Excel workbooks and other digital formats.

  • Demonstrates proactive, collaborative, and active engagement with members of the department and college employees; assists the department with routine and special projects, including research, data compilation, and report preparation.

  • Complies with all published College Rules, procedures, guidelines, and laws/regulations governing public employees, including but not limited to those related to document retention and destruction, FERPA, and confidentiality.

  • Strictly honors the privacy, security, and confidentiality of student records and other sensitive information according to appropriate state, federal, and college regulations, policies, and procedures.

  • Provides service excellence through courteous, informed, accessible, and professional engagement.

  • Performs other duties as assigned.

Reports to: Associate Vice President, Institutional Effectiveness and Strategic Planning

QUALIFICATIONS

Required: A bachelor’s degree in information science, education, statistics, mathematics, business-related fields, or other relevant areas with two (2) years of related work experience in areas of data collection and analysis, student support services, and program assessments.

Additional Requirements: A criminal background check will be conducted. Must be able to demonstrate proficiency in Microsoft Excel and Word and have effective oral and written communication skills.

Preferred: A master’s degree in a related field and prior experience using EAB Navigate, as well as experience with QuickBase platform/application development. Proficiency in creating pivot tables and other data visualizations; instructional design experience; database and systems management experience; and prior experience developing accessible training materials.
