Requirements

Education
- A bachelor's degree in business administration, public administration, nonprofit management, or a related field is often required.
- MBA (Master of Business Administration), MPA (Master of Public Administration), or a related advanced degree in nonprofit management or organizational leadership, preferred.
- Extensive experience in nonprofit management, administration, or a related field is crucial.

- Financial oversight and budgeting experience

Essential Functions
- Plans, organizes, maintains, and manages the operations and reliability of The Shelter’s facilities and general infrastructure systems
- Trouble-shoots and responds to issues as needed regarding the operational aspects of the facilities
- Updates and maintains list of facilities equipment, including life-cycle and replacement costs
- Monitors and oversees the work of external contractors to ensure terms of agreements are met and work is completed satisfactorily
- Assists the CFO by participating in facility related budgeting process
- Assists the CFO with procurement and fiscal management activities associated with building and grounds maintenance activities
Core Responsibilities
The Shelter’s Chief Administrative Officer (CAO) will oversee its Facilities, Operations, Human Resources, and Quality Improvement Departments. The CAO will play a critical role in ensuring the seamless operation and strategic direction of these departments, with three direct reports: the Administrative Support Services Director, the Operations Director, and the Human Resources Director.
The CAO will provide servant leadership, administrative guidance, and support for the following major functions:
Operations & Facilities Management:
In the realm of facilities management, the CAO will oversee the day-to-day operations of custodial, grounds, and building maintenance activities across all Shelter facilities, including the Beau Venturi Home, the Shelly Stayer Shelter for Victims of Human Trafficking & Domestic Violence, transitional living housing, and The Shelter’s Options Shoppe. Collaborating with the CFO, the CAO will establish and update Shelter facilities policies and standards, and provide input on major and minor capital projects, new building designs, and remodel-improvement projects, ensuring effective collaboration with vendors during specification development.
Human Resources & Quality Improvement
The CAO will collaborate with The Shelter’s HR Director to ensure The Shelter’s compliance with HR policies and procedures, review and approve team action and corrective action plans, and oversee the open enrollment for medical insurance plans. Additionally, the CAO will provide support to the HR team in maintaining the Medical Reimbursement Plan, update the Personnel Handbook as needed, and monitor compliance of HR laws and regulations. The CAO will provide guidance, assistance, and support with Quality Improvement initiatives for the organization.
Security Management:
The CAO will oversee the operation and maintenance of The Shelter’s security system, ensuring comprehensive knowledge of security and fire systems. The CAO will schedule and oversee annual fire inspections and health department inspections, and monitor the safety and accessibility of all Shelter facilities.
Strategic and Administrative Responsibilities:
A forward and critical thinker, the CAO will understand the complexities of each function and their integral role in supporting The Shelter’s Programs & Services Team. The CAO will become a member of The Senior Leadership Team and assist in creating Logic Models and Strategic Plans, ensuring that all departmental initiatives are carried out timely and in accordance with contractual obligations and state standards.
Miscellaneous:
The CAO will also be responsible for assisting at fundraising events and performing other duties as assigned by the CEO.
ADA
Must be physically mobile and able to sit, stand, bend, stoop, and lift 25 pounds. Work is generally performed in both an office environment and an outdoor environment, with frequent interruptions and irregularities in the work schedule. This position requires regular visits and meetings at all of The Shelter’s facilities. Frequent walking, standing, climbing, lifting, stooping, or carrying of equipment and materials may be required.
