University of Hawai‘i, Kapi‘olani Community College, Office for Student Affairs is seeking applications for a Program Assistant (Casual Hire). Important note: Applicants seeking short-term or part-time work with the University of Hawai'i may apply for Casual Hire positions, which include administrative, professional, and technical (APT) or instructional-type positions.  Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits as provided to regular BOR and Civil Service employees (i.e. paid holidays/leave).  Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Schedule: 40 hours per week, 7:45 am to 4:30 pm

Continuation is dependent on satisfactory performance, program needs, and renewal of funds.

 

Duties and Responsibilities:

  • Serve as the program assistant, directly supervised by the Pahihi Program counselor. The Pahihi Program supports all incoming students to Kapi'olani Community College who are not entering directly from high school

  • Provides staff support in the following field of assignment or subject matter areas: individual academic advising; unofficial transcript evaluation and assessment of remaining requirements; intensive student outreach and support; data collection, interpretation, and analysis

  • Monitors student progress through the admissions and enrollment cycles, from onset to completion; coordinates and initiates expediting actions

  • Develops, prepares and presents to management, other personnel and public written and oral reports, and recommendations related to outreach, marketing messages, and changes in program deliverables to best meet student needs

  • Develops or improves procedures, e.g., outreach campaigns to admitted students, makes recommendations, e.g., website improvements or new marketing ideas, conducts inspections, e.g., analysis of mail merge marketing data (via YAMM or similar program)

  • Develops complex or special nonrecurring reports to determine trends, inferences, and projections for the Pahihi Program

  • Responsible for specific segments of marketing and outreach to admitted students

  • Advises supervisor of the progress of projects. e.g., marketing and outreach to admitted students, anticipated problems, e.g., enrollment trends

  • Recommends changes, e.g., supporting returning adult students through the entire pathway of pre-admission through matriculation to program policies and standard operating procedures to improve operations to achieve the most efficient and economical service as it relates to increasing enrollment;

  • Receives training relative to academic advising, campus policies/procedures, and marketing programs;

  • Develops and/or directs and/or coordinates and/or participates in the administration of programs and associated activities in specialized areas of responsibility, i.e., supporting returning adult students with direct services;

  • Supervise student employees as needed;

  • Other duties as assigned.     

 

Minimum Qualifications:

 

  • Possession of a baccalaureate degree in Business, Social Sciences, Education, or related field and 3 years of progressively responsible professional experience in business or academic advising.

  • Demonstrated ability to operate a personal computer and apply word processing software.

  • Considerable working knowledge of principles, practices and techniques in the field

  • of academic advising and marketing, as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.

  • Considerable working knowledge and understanding of applicable federal and state

  • laws, rules, regulations and theories and systems associated with general admissions, selective admissions programs, FERPA, and academic advising.

  • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.

  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.

  • For supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.

  • Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

 

Desirable Qualifications:

 

  • Professional experience with responsibilities for supporting returning adult students through academic advising and marketing; or equivalent education/training or experience.

  • 2 years part-time work experience in supporting a special population of students with academic advising and marketing.

  • Experience with the study of languages and cultures

  • Demonstrated ability to use graphic design software (such as Canva or Adobe Illustrator) to create marketing materials.

  • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
