Position Summary/Purpose of Position:

The Executive Assistant for the Vice President / Chief Information Officer (VP/CIO) provides a broad range of support to the Vice President and the DIT senior leadership staff. This position reports to the Assistant Vice President, Business Operations and is responsible for a myriad of activities within the Office of the Vice President. The Executive Assistant is responsible for managing the VP/CIO’s calendar and providing high-level support to ensure the day runs smoothly. This person will respond to various inquiries both external and internal to the organization and must have the ability to work with all levels of management, staff, external clients and vendors. Ability to diplomatically handle confidential matters is required.

Additional activities that this position is responsible for includes, but is not limited to, IT governance meetings, fleet management, staff engagement activities, divisional meeting organization, travel approval on behalf of the VP/CIO, and communications back-up support. In addition to providing executive administrative support to the Vice President/CIO, this position is also responsible for administrative support of the Assistant Vice President, Business Operations and other members of the senior staff. This position must work closely with the Business Office and other administrative personnel to ensure the daily operations of the office run efficiently and effectively.

A successful candidate will be a self-starter who is able to handle multiple priorities at one time. This position requires flexibility, a willingness to take on a variety of tasks, and extreme attention to detail. Excellent communication and computer skills are essential to this position. This position requires physically working in the office 5 days a week during typical business hours. This position is considered an essential position and may be required to work at the normal work location or an alternative location during a major catastrophic event, weather emergency, or other operational emergencies to help maintain continuity of University services.

Minimum Qualifications:

Education:
  • Bachelor’s degree or 4 years of equivalent work experience.

Experience:
  • At least six years full-time progressive experience supporting a multi-person work environment, including executive level leadership.
  • 1 year supervisory experience.

Knowledge , Skills and Abilities:
  • Proficient English-language written and verbal communication skills and interpersonal skills. Excellent administrative writing and verbal skills.
  • Full comprehension of office management systems and procedures. Microsoft Office, Google Workspace digital skills, ability to manage processes, organization, analyze information, and write reports.
  • Excellent time management skills, attention to detail and proven ability to coordinate multiple priorities. Ability to work independently and collaboratively, as needed.
  • Demonstrated experience with providing outstanding, prompt customer service.

Physical Demands

Sitting for extended periods of time. Dexterity of hands and fingers to operate a computer keyboard, mouse, and other devices and objects. Physically able to participate in training sessions, presentations, and meetings.

Evening/weekend hours may be required to meet deadlines. Some travel may be required for the purpose of meeting with clients, stakeholders, or off-site personnel/management. This position is not eligible for telework.
