Position Summary

Reporting to the Assistant Dean of Student Services, the Executive Secretary (Level 5/6) provides clerical support, assists visitors, responds to information requests, provides timely and accurate data input and reporting, assists with document development, organization, and maintenance, and assists in coordinating activities, calendars, and events.

 

Essential Functions         

  • Implements and maintains efficient office systems and protocols.
  • Provides clerical support to the dean, associate deans, administrators/staff, and faculty, ensuring accuracy of information and assistance with problem-solving.
  • Assists visitors and responds to information requests from students, faculty, alumni, GSS and University departments.
  • Promptly answers and properly routes inquiries, taking complete messages and contact information.
  • Ensures follow-through on all received requests for assistance and tracks with documentation.
  • Provides timely and accurate data input and reporting using database systems such as Banner, Blackboard, and Google Drive.
  • Ensures confidentiality and security of confidential records/information.
  • Assists students, staff and faculty with the use of data systems and set-up of virtual meetings via Zoom, WebEx, etc.
  • Assists with the development, organization and maintenance of official forms and documents, proper format for correspondence/communications.
  • Assists with copying, faxing, filing, and documents preparation, such as handouts and other materials.
  • Maintains up-to-date school/department calendars and checklists of important dates, meetings, and events.
  • Provides logistical support as needed for meetings, activities, lectures, social gatherings, and events.
  • Participates in Student Services Department meetings and GSS/University meetings and events as required.
  • Performs other duties as assigned.

Required Qualifications: Education and Experience         

  • High School diploma or equivalent
  • Minimum 3 years office experience

 

Required Qualifications: Knowledge and Skills       

  • Proficiency with software applications such as Microsoft Word, Excel, PowerPoint, Google spreadsheets, etc.
  • Ethical, sound judgment, detail-oriented, with strong organizational and time management skills.
  • Clear, effective communication skills
  • Ability to work independently as well as part of a team in a complex work environment. Possess strong interpersonal skills with a customer-service orientation.
  • Successful candidates should have a knowledge of and commitment to the goals of Jesuit Education.

 

Preferred Qualifications  

  • Bachelor’s Degree
  • Prior experience in higher education/educational institutions

 

Minimum Biweekly Salary for Level 6 Internal Applicants who meet criteria: $2,235.46
