Summary of Position

Red Rocks Community College seeks applications for an organized, detail oriented, process driven, strategic leader to join the team as our Associate Registrar. The Associate Registrar is responsible for the daily operations of the Student Records department at Red Rocks Community College, ensuring compliance with all college, state, CCCS, and federal laws, policies, and regulations. The Associate Registrar supervises four full-time staff members, each performing duties critical to the Student Records office and Registrar functions.

Essential Responsibilities

Assesses, implements, and maintains registration procedures and practices in adherence to CCCS polices. Maintains compliance and oversees student registration. Develops and maintains procedures to ensure transfer prerequisite requests are resolved promptly and accurately. Develops procedures to ensure all processes operate cohesively and follow college, state, CCCS, and federal laws, policies, and regulations. Collaborates with Academic Advising to develop a procedure for processing approved academic standing appeal registration requests and works with faculty and Academic Deans to resolve prerequisite, registration, and substitution issues. Independently administers the College Opportunity Fund (COF) processes, including the creation and evaluation of reports and data. Communicates with COF and/or students, and creates and distributes marketing materials. Administers and maintains the FERPA process, ensuring student information is protected and provides training to college faculty, staff, and students. Applies updates to student records upon receipt of proper documents, provides requirements for resident tuition status, and answers questions about State of Colorado tuition classification law. Assists the Registrar in the development of the operating budget and implements procurement processes.

Qualifications

Required Qualifications: Bachelor’s degree from an accredited institution. Three (3) years of professional work experience in higher education, Student Affairs or Business Services, handling difficult or unexpected situations and complex workplace challenges, and progressively responsible customer service. One (1) year of experience supervising full-time, professional staff.


Education Substitution:
 A combination of education and directly related technical/professional work experience may be substituted on a year for year basis. Years of experience are in addition to any required years of experience for the position.

Preferred Qualifications: Experience working in diverse communities and supporting the success of individuals from racial, ethnic, and gender backgrounds that are underrepresented. Five (5) years of demonstrated, outstanding, customer service experience.

Required Knowledge, Skills, Abilities: Ability to work from campus (primarily our Lakewood campus with occasional hours at the Arvada campus). Proficient in Microsoft Office with the ability to maintain databases and generate reports. Accuracy and attention to detail. Strong written and verbal communication skills. High degree of patience. Ability to professionally represent the college. Ability to relate to a diverse applicant/student population. Responsible for knowing, understanding, interpreting, referencing, and adhering to state tuition classification statutes, accepted interpretations, and college/departmental policies and procedures regarding tuition classification and must accurately apply this knowledge when processing residency petitions and applications.

Physical and Cognitive Demands: The following are some of the physical and cognitive demands commonly associated with this position.
  • This position operates in a standard office and/or classroom environment. Constantly uses a computer and routinely uses standard office equipment including phones, copiers, etc. Requires the repetitious movement of hands, wrists, arms.
  • Cognitive demands include comparing, copying, computing, compiling, analyzing, coordinating, synthesizing, negotiating, communicating, instructing, and interpersonal skills.
  • The person in this position constantly communicates with internal and external constituents and students. Must be able to exchange accurate information in these situations.
  • Occasionally moves, positions, and transports equipment and supplies weighing up to 10 lbs.

Department Information:

The Student Records department is responsible to provide effective coordination, processing and maintenance of many student processes and procedures. This unit processes transcripts, grades, transcript evaluations, prerequisite overrides, the College Opportunity Fund processing, No Show reporting, demographic changes to name and social security numbers, correcting duplicate student accounts, residency classification for tuition purposes, coordinates the graduation process and prints diplomas. This department is a source for FERPA guidelines and processing legal requests for student information. This department is responsible for data corrections and state reporting, along with reporting to the Western Undergraduate Exchange (WUE) and The National Student Clearinghouse. This unit is expected to provide excellent customer service to students and staff within the boundaries of federal, state, and institutional policies and procedure.

Work Environment and Typical Work Schedule: Work is generally performed in a standard office environment. This position will generally work Monday – Friday, 8am – 5pm. Some weekends and evenings may be required.

Starting Salary: Starting salary is determined by education and experience in accordance with our compensation plan.
