Position Summary

The Human Resources Assistant is responsible for the following human resources functions: hire process, orientation schedule, employee records, and payroll as well as organizing and performing the functions related to Protecting the Mission program.

Essential Functions

  • Maintain confidentiality regarding all employee information.
  • Carry out various human resource program and procedures for all staff at the Kroc Center.
  • Perform general clerical duties for the Human Resources Generalist.
  • Monitor time keeping system and ensure accuracy and timeliness of payroll information. This includes but is not limited to:
    • Running biweekly reports for Business & Operations Director.
    • Ensuring that all departments' timecards are approved and complete on time.
  • Assist the Human Resources Coordinator in implementation and maintenance of HR Operations Manual
  • Support organizational training and development efforts. This includes, but is not limited to:
    • Ensuring that all employees are entered in Training Web & complete required trainings.
  • Maintain employee and department files and records. This includes but is not limited to:
    • General Personnel files, Protecting the Mission files, HIPAA files, Fleet files, Workers' Compensation files, Payroll files, General Liability Claim files.
  • Monitor and update Employee Databases on a weekly basis.
  • Assist in processing all new employees and stats change forms. This includes but is not limited to:
    • Running background checks
    • Scheduling appointments with new employees
    • Assisting new employees and supervisors with completing paperwork.
  • Schedule and conduct new hire orientations, Protecting the Mission Training and center tours.
  • Cross-train processing items, such as Command Finance Council, Divisional Program Council, as needed.
  • Process employee birthday announcements & cards.
  • Coordinate Associate of the Quarter nominations, voting, announcements, and gifts
  • Name and ID badge ordering & processing.
  • Uniform inventory, order, and distribution
  • Maintain employee "yearbook."
  • Perform general clerical duties for the Corps Officers, and Center Director
  • First Aid supply pricing, ordering, and distribution
  • Purchasing gift card for Associate of the Quarter and monthly Manager's & Director's meetings
  • Back rooms for meetings, submit banquet event orders and alert facilities to room setup as required.
  • Maintain accurate, complete, confidential and functional files related to the PTM program.
  • Plan and conduct training sessions and policy workshops.
  • Receive results on criminal background checks on all Salvation Army employees and volunteers and work with THQ Child Safety to provide DHQ HR results/clearance prior to cases being sent to CFC.
  • Ensure criminal background checks are completed and passed on all Kroc Center employees and volunteers in cooperation with DHQ, ensuring that complete documentation is maintained.
  • Coordinate PTM assessment of all Kroc Center Corps Community Program.
  • Provide additional information and assistance to Corps Officer(s) and Divisional Secretary for Business (DSB), including assistance with complaints, investigations and other issues as required.
  • Ensure that the Kroc Center maintains compliance on all PTM matters and meets the Territorial Standard for Insurance Rebates.
  • Perform other related assignments/duties as assigned.
  • Must maintain a valid California Driver's License
  • Must successfully complete Decision Driving Safety Test before driving for The Salvation Army and annually recertify as required.
  • Must meet certification by and participation in The Salvation Army's Fleet Safety Program (Salvation Army Fleet Safety Policy dictates that an employee may not obtain more than two [2] moving violations or accidents within any 12-month period; see The Salvation Army Fleet Safety Policy)

Working Conditions

Ability to walk, stand, bend, squat, climb, kneel and twist on an intermittent or sometimes continuous basis. Ability to be able to lift up to 40lbs. Ability to grasp, push, pull objects such as files, file cabinets drawers and reach overhead. Ability to operate computer, fax and telephone.

Minimum Qualifications

  • Minimum High School graduate or equivalent.
  • 2+ years of administrative experience is preferred.
  • Bilingual/bi-literate English/Spanish is preferred.

Skills, Knowledge & Abilities

  • Excellent verbal and written communication skills are required.
  • Must have a good command of the English language, both verbal and written.
  • Must be friendly, inviting, self-motivated, even-tempered and adaptable.
  • Must have ability to work with, direct and relate with co-workers, members, and guest.
  • Must be able to maintain a professional attitude and approach to problems.
  • Must be able to function effectively without supervision.
Qualifications

Education
High School or Equivalent (required)

Experience
2 years: Minimum Experience of Administrative Experience. (preferred)

Licenses & Certifications
Motor Vehicle Check (required)
Driver's License (required)
