SUMMARY

As an integral part of The Foundation’s Community Services team, the Community Services Coordinator will assist with campaign preparation for diocesan campaign services, including offertory enhancement, annual appeal, capital campaigns, wealth screens and feasibility studies. This includes coordinating feasibility study and campaign materials, inputting data, creating new materials from templates, corresponding with parishes/schools and assembling packets. The Coordinator should be able to foster appropriate and ongoing communication with pastors, school presidents and principals and other key diocesan lay leaders and clergy leaders.

Requirements:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Partners with Community Services team to serve parish and school clergy, staff and lay leaders to ensure their success in campaigns.
  • Prepares, creates and coordinates materials for a structured campaign plan from templates.
  • Collects data and reporting from parishes and prepares to send to mail house to get donor letters mailed.
  • Conducts donor prospect research for wealth screens and feasibility studies and prepares confidential documentation to share with appropriate clergy and lay leaders.
  • Accurately captures feasibility study data and develops report for analysis and recommendations.
  • Creates spreadsheets combining top prospect lists from wealth screens, giving history and feasibility study data.
  • Engages in positive and supportive relationships with parish, school and diocesan entity clergy, staff and lay leadership through email and telephone communications.
  • Assists with maintaining donor tracking in donor database.
  • In conjunction with the Foundation Data Team, prepares and coordinates donor mailings for acknowledgements, reminders and credit/debit card decline letters in accordance with The Catholic Foundation of Central Florida policy and procedures.
  • In conjunction with the Stewardship Director, coordinates the development, production and distribution of all campaign collateral materials.
  • Creates and maintains historical reference campaign materials.
  • Coordinates with all vendors as needed throughout the campaign including graphic designers, mail house, etc.
  • Opens, sorts, and distributes incoming mail. Logs and archives data of received checks and prepares them for the Data Team to enter into the database.
  • Assists with various events throughout the year, which includes sending invites, tracking RSVPs, preparing event materials, and helping with setting up, breaking down, and event registration.
  • Operates independently and confidentially, exercising independent judgement on matters pertaining to each parish, or diocesan entity, campaign.

QUALIFICATIONS

EDUCATION and/or EXPERIENCE

  • Experience in fundraising is a plus, specifically with annual giving and/or campaign experience;
  • Superior relationship skills;
  • Community or Catholic Foundation or diocesan experience a plus;
  • Bachelor’s degree required, or equivalent work experience;
  • Proficiency with Microsoft Office required and Blackbaud NXT software preferred or other constituent/donor relationship management system;
  • Strong attention to detail;
  • Must be highly organized, accurate and detail oriented;
  • Must be able to meet deadlines and set priorities;
  • Solution oriented and able to maintain the goodwill and reputation of the team;
  • Ability to map, manage and track projects that involve multiple stakeholders;
  • Ability to work independently and to take initiative and participate as an effective team member.
  • Excellent written and oral communication skills as well as effective personal interaction, influence and experience working with diverse groups;
  • Possess demonstrated ability to work in a church-related as well as service-oriented environment;
  • High level of discretion and ethical approach to fundraising, including adherence to Canon 1262 and the Donor Bill of Right;
  • Bi-lingual (Spanish) preferred;
  • Must be a practicing Christian, Catholic a plus;
  • Ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality;
  • Strong customer service orientation;
  • Ability to travel local and Diocesan-wide and on occasion work evenings and weekends as required for special events, meetings, etc;
  • A passion for community involvement and philanthropy, infectious enthusiasm, and an entrepreneurial spirit.

LANGUAGE SKILLS

Ability to read, analyze, and interpret common journals, articles, and periodicals. Must have outstanding problem-solving skills. Excellent communication and interpersonal skills required.

MATHEMATICAL SKILLS

Ability to apply routine mathematical concepts such as addition, multiplication, and division.

REASONING ABILITY

Ability to define problems, collect data, establish facts, and draw valid conclusions.

PHYSICAL REQUIREMENTS

Position requires walking, sitting for extended periods of time, bending, stretching, and stooping. Repeated use of hands, fingers, wrists, and arms. Must be able to see up close as well as from afar. Job incumbent must also possess the ability to hear and communicate both verbally and in writing, in person and via telephone and electronic communications.
