Job Description

ADMINISTRATIVE ASSISTANT 2, Center for International Studies (CIS)-Security Studies Program (SSP), to provide advanced academic and administrative support to support the director and assistant director of the Security Studies Program and faculty members.  Will interact with high-level visitors, including senior members of the military and government organizations, and perform complex and diverse clerical, administrative, and financial duties.  Principal duties and responsibilities include provide support to faculty, research staff and fellowship program; assisting with search and onboarding activities for pre-doctoral and postdoctoral fellows; assisting with visiting student appointments and timesheet approvals; managing vacation schedules; preparing academic course materials using Canvas and learning modules; coordinating travel arrangements and processing travel expenses and reimbursements; and scheduling diverse and complex meetings and classroom space and accommodating multiple calendars and priorities.

Job Requirements:

REQUIRED:  high school diploma or its equivalent; at least three years of professional administrative/office experience; excellent organizational, analytical, problem-solving, customer service, interpersonal, and verbal and written communication skills; meticulous attention to detail; experience organizing events; record of using discretion and good judgment when maintaining confidential information; and proficiency with MS Office/Outlook and willingness to learn new programs and software as needed.  Must be able to follow through on tasks; work both independently and as part of a team; interact with a diverse group of faculty, students, staff, and sponsors.  PREFERRED:  bachelor's degree, five years of professional administrative/office experience; MIT experience; and experience with systems and tools used at MIT such as Atlas, Concur, SAP, Coupa, Zoom, and Slack.  Job #24151-5

This is a full-time, 40-hour-per-week position. It has a hybrid schedule with three days/week in the office.  Some evening work will be required.
