Student Union Administrative Assistant (SUAA)
The Student Union Administrative Assistant (SUAA), funded by Notre Dame Undergraduate Student Government, supports both the Director of Student Centers, Activities, and Events, and the Student Body President. This unique role provides operational and administrative support to the undergraduate Student Union’s major branches.
Position Details:
- 9-month position
- 30 hours per week when classes are in session
- Benefit eligible
Essential Duties & Responsibilities:
- Front Office Support:
- Welcome and assist students, staff, faculty, and community members.
- Respond to Student Government emails and triage as needed.
- Maintain office supplies and general upkeep of Student Government and Student Union Board offices.
- Process work orders and updates for Student Union office spaces.
- Operational Support:
- Meet with Student Government and Student Union leaders to support daily operations.
- Maintain Student Union files and shared drives.
- Process financial transactions and run reports for branches like Student Government, Student Union Board, and Class Councils.
- Administrative Assistance:
- Manage calendars and schedule meetings for the Student Body President, Vice President, and Chief of Staff.
- Coordinate priority registration access for key Student Union leaders.
- Support the administrative and operational needs of the undergraduate Student Union.
- Event Coordination:
- Assist with Executive Cabinet event preparations, including decorations and print materials.
- Organize special events and team-building opportunities for Executive Cabinet members.
- Maintain templates and resources to ensure efficient operations, such as benchmarking packets and event planning checklists.
- Team Collaboration:
- Participate as an integral member of the Student Development team, collaborating with colleagues across various departments, including Student Activities Office, Office of Community Standards, RecSports, University Bands, Family Resource Center, and student media groups.

Minimum Qualifications
- Strong sense of professionalism and ability to maintain confidentiality in all responsibilities
- High school diploma or GED
- 1-2 years of related experience
- Excellent interpersonal skills, both written and verbal
- Demonstrate strong leadership, customer service, team building, and decision-making skills
- Basic computer proficiency, including Microsoft Office and Google Suite

Preferred Qualifications
These qualifications are not required, but may increase the likelihood of being considered a top candidate:
- Associates or Bachelors degree
- 2+ years of experience in office coordination for a large, diverse team
- Experience with Notre Dame’s BuyND, Payroll, UltraTime, Procurement, Accounts Payable and TravelND systems preferred
