Job Description

The Business Analyst provides financial expertise and guidance to help manage the complex $22 million budget of the Hesburgh Libraries.

Reporting to the Senior Director of Operations, the Business Analyst works with other team members and colleagues to coordinate the management and reporting of the operational budget. They will also play a significant role in the development of the overall budget.

The Business Analyst will help manage the $14 million Acquisitions budget, a complicated financial model that is used to acquire the valuable resources that allows Notre Dame’s students and faculty to conduct scholarship and research.

The Business Analyst will have comprehensive and in-depth knowledge of financial management principles and apply that knowledge to provide guidance and oversight of financial processes, including: accounting principles, budget development, year-to-date monitoring, year-end projections, payment processing, vendor evaluation, and financial modeling. This role will be expected to proactively identify areas for process improvement and then design and implement solutions in those areas.

These improvements will incorporate solutions in our financial reporting and systems capabilities, especially looking to take advantage of emerging business intelligence tools and concepts.

Being able to communicate clearly on various financial topics with various stakeholders is critical, as is the ability to present complicated data and information to senior leaders in a concise, clear format that supports any presented recommendations.

Duties include:

  • Monitors the year-to-date financial performance of the Library’s budget. – Coordinates the quarterly financial processes, including reporting, transfers, corrections, and reconciliations. -Provides year-end projection figures for various aspects of the budget. – Helps design and maintain a financial dashboard of summary information and key performance indicators.
  • coordinates the $14 million Hesburgh Libraries Acquisitions budget, which is used to acquire books, journals, subscriptions, datasets, and various electronic resources. Works with Library faculty subject specialists to manage available funds and purchases. – Regularly reconciles the Library Acquisitions financial system (ALEPH) with the University’s financial system (Banner). – Designs, develops, and runs reports from the various operational data stores to help with financial monitoring and planning. – Develops forecasts of significant cost areas, such as serials and standings orders ($7.5 million), and their associated inflationary factors. – In coordination with Acquisitions, supports the year-end process for closing the Acquisitions budget and rolling it into the following fiscal year.
  • With the finance team and other Library colleagues, develops various aspects of the operating budget, including: – Department level supplies, travel, and professional development – Restricted fund budgets and spending plans – Process definition and documentation of the budget development effort and results.
  • Support various operational and transactional activities related to purchasing, payment processing, reimbursements, and ad hoc reporting needs. This will require working knowledge of Banner, AnaPlan, and other Ellucian systems used by the University. –Conduct financial analysis using historical data and information and an understanding of future considerations of cost and funding resources.

Minimum Qualifications

  • Bachelor’s degree (4 years) preferred in a Business Major such as accounting or finance
  • Experience: 3 to 4 years
  • Requires working knowledge of Banner, AnaPlan, and other Ellucian systems used by the University.
