The Centers and Institutes Business & Research Administration Hub (CIBRAH) provides business and research administration services to select centers and institutes in support of the University’s research mission. CIBRAH aims to provide high-quality services in the areas of business operations, research administration and grants management, human resources, budget development, finance, payroll, purchasing, contracting, travel, accounts payable/receivable, and programmatic support. Additionally, CIBRAH supports affiliated service centers and center/institute-specific programmatic, technical, and infrastructure support personnel.

The units supported by CIBRAH constitute a large research enterprise consisting of more than 400 employees, $30M in annual grant expenditures, and $2M in annual operating budgets. CIBRAH itself is projected to have an estimated 16-18 FTE.


Position Summary

The purpose of this position is to provide programmatic support to research personnel and their activities. The Administrative Program Specialist is responsible for a broad scope of administrative support duties related to multiple research programs. These responsibilities include coordinating high-profile seminar series; maintaining sustainability, diversity, and social initiatives; supporting UO's undergraduate and graduate research programs; arranging grant-funded travel in compliance with the Fly America Act, and sponsoring terms and conditions.

In addition to other members of the administrative support team, the Administrative Program Specialist will interact daily with internal UO personnel including 250+ research-active, tenure-track faculty; non-tenure track research assistants/associates/postdoctoral scholars, research-appointed graduate employees, and undergraduate researchers. The Administrative Program Specialist will also interact with UO offices including collaborating units within the research community such as the Institute of Neuroscience, Institute of Molecular Biology, Institute for Ecology and Evolution, Center for Translational Neuroscience, Oregon Advanced Computing Center for Science and Society, Center for Science Communication Research, School of Journalism and academic units including the departments of Psychology, Human Physiology, Biology, Chemistry & Biochemistry, Physics and central UO offices such as Business Affairs, Travel and Accounts Payable offices, Purchasing and Contracting Services, UO Catering and Sponsored Projects Services. Interactions with external constituents include world-renowned visiting scientists, undergraduate students from groups traditionally underrepresented in the sciences, vendors of research equipment and supplies, UO-contracted travel agents, and local hotel managers.

The Administrative Program Specialist is expected to exercise their best judgment in routine transactions and day-to-day operations to ensure compliance with all applicable laws/policies/guidelines/sponsor terms and conditions and consult with their supervisor on non-routine or complex exceptions.

The Administrative Program Specialist reports to the Hub’s Administrative Director.


Minimum Requirements

• Two years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations; OR
• An equivalent combination of training and experience.

One year of postsecondary education may be substituted for up to one year of the experience.

• Demonstrated proficiency in Word, Excel, Outlook, and SAP Concur (or similar software).
• Ability to work effectively with individuals at all levels of an organization.

• Excellent organizational and time management skills, attention to detail, and ability to perform with frequent interruptions and competing priorities.
• Ability to proactively anticipate needs.
• Ability to coordinate high-profile, weekly seminar series hosting internationally renowned visiting scientists at UO.


Preferred Qualifications

• Bachelor's degree.
• Prior experience with BANNER (specifically Accounts Payable module); Concur (specifically Travel module).
• Prior experience supporting a diverse constituent base including research-active, tenure-track faculty; non- tenure track research faculty; graduate employees with research appointments; undergraduate researchers from backgrounds traditionally underrepresented in the sciences.
• Previous experience with summer research programs or similar program coordination experience.
