SUMMARY

This position will support the operations of the Empathy Collaborative Program through event coordination, communication, and financial administration.

This is a limited duration, grant funded position.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Coordinate logistics for Empathy Collaborative Program activities through scheduling, organizing receipts and reimbursements, mileage logs, supplies, and internal project dashboards.
  • Assist in planning and coordination of zoo resources to support programming developed during co-design process.
  • Coordinate logistics for events and focus groups to ensure team members know where and when they are needed and have what they need. Including, but not limited to: meeting room reservations, organizing translation services or other resources, registering participants, taking notes, and helping provide technical support.
  • Track event participation, and coordinate follow-up communication and actions.
  • Organize and disseminate surveys in collaboration with project team. Track participation and coordinate follow-up communication.
  • Support collaboration between zoo and project partners, such as AmeriCorps VISTA members and Antioch University.
  • Organize and compile project data and documents. Support data collection activities and dissemination of findings.
  • Assist with organizing receipts and mileage, processing expenses, and tracking spending to project budget.
  • Support evaluation of programming completed by zoo and Antioch University evaluation teams.
  • Support department leadership and program team in cross-departmental communication and documentation/dissemination of project learning.
  • Support grant writing, grant reports, donor cultivation tours, events, and other fundraising initiatives as directed by department leadership.
  • Perform other duties or projects as assigned.

QUALIFICATIONS

  • High school diploma and two (2) or more years’ related experience in non-profit administrative assistance, community development, or similar fields; and/or equivalent combination of education and experience.
  • Demonstrated organizational skills, time management, and attention to detail.
  • Demonstrated database management skills and ability to maintain records.
  • Demonstrated information research skills.
  • Demonstrated customer service skills.
  • Experience tracking and coding expenses; updating and monitoring budget.
  • Open to experimentation, learning, and adjustments along the way; ability to push through ambiguity to deliver results.
  • Proficient and experienced in Microsoft Office applications, particularly Word, Excel, PowerPoint, Outlook, and Teams.
  • Ability to prioritize workload and schedules in a fast-paced environment with multiple agendas.
  • Ability to work successfully both independently and in a team setting.
  • Ability to work a non-standard/flexible schedule, which may include weekends, evenings, and holidays.

PREFERRED SKILLS

  • Washington State Driver’s License.
  • Ability to speak a language in addition to English.

PHYSICAL DEMANDS

  • This position may be required to lift and/or move up to 35 pounds.

WORK ENVIRONMENT

While performing the duties of this job, the employee is exposed to a typical office environment and/or outdoor weather conditions. The noise level in the work environment is usually moderate. During COVID-19, there may be a combination of remote work and onsite work.

PAY: $25.00 per hour

EMPLOYMENT REQUIREMENTS:
