Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Program Coordinator II. Reporting to the Assistant Deans of the Rutgers Business School, Undergraduate – Newark (RBS-Newark) program. The position is primarily responsible for overseeing the front desk operations for the RBS-Newark Student Services Office.
This position is responsible for and not limited to the following key duties.
  • Answering and addressing common concerns and questions for students and visitors who enter the office (triage)
  • Provides referrals and direct questions to appropriate offices/individuals, answering the office’s phone line, replying to inquiries that come to the general office email account
  • Assists with providing content and information for the office’s online chatbot and ensuring the program’s website stays up-to-date and accurate
  • Manages the program’s social media accounts
  • Provides high-level administrative support to the Assistant Deans, Student Counselors, and the other Program Coordinators by assisting with the coordination and administration of various tasks and projects as directed, and specifically the RBS Student Ambassadors
  • Executes other duties as assigned throughout the year demonstrating the capability to learn new information, understand it and use that information to effectively create positive change.

Due to the nature of this position and its open location, this person must maintain an organized and confidential area. This position requires occasional evening and weekend hours, and occasional travel to New Brunswick

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
Requires a bachelor’s degree or an equivalent combination of education and/or experience demonstrating knowledge and understanding of office administration, organization, and coordination.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Requires strong customer service and communication skills, along with proficient computer literacy, specifically Microsoft Excel, Word, PowerPoint, mail merge, and website content editing
  • Must be able to manage multiple tasks with frequent interruptions as the position is located in a high-volume foot-traffic area

Preferred Qualifications
  • Excellent customer service experience is preferred, ideally in a student/academic service and/or in a higher educational institution

Equipment Utilized
  • Micrsoft Office Suite: Word (for standard word processing,) PowerPoint (for presentations,) Access (for data management,) and Excel (for report production.)
  • University audit program (Degree Navigator), a large number of documents (PDF and DOC) utilized both by us and the SAS-N Dean’s Office, and New Jersey Transfer
