Job Summary

We are seeking a full-time Program Coordinator to manage urban health training programs and initiatives offered by Drexel’s Urban Health Collaborative. 

The Program Coordinator will work closely with faculty/lead investigators, leadership of the Urban Health Collaborative (UHC), and other staff including Assistant Director, Business Manager, and Communications Manager, to plan, track, and execute required tasks relevant to new and future training grants, as well as activities relevant to skills and capacity building for students and professionals such as our Urban Health Summer Institute (https://drexel.edu/uhc/events-workshops/summer-institute/), the Drexel-INCAP training program (https://drexel.edu/uhc/research/projects/drexelINCAP/), other urban health courses, workshops, and symposia. The Program Coordinator will support recruitment and selection of trainees (including for funded training opportunities), as well as logistics, coordination, event planning, and internal and external communications for training programs.

This position is based at the UHC at the Dornsife School of Public Health and will be supported by departmental operating funds and external funding.

Essential Functions

  • Coordinate activities related to training and student funding programs (including masters, doctoral, postdoctoral and visiting scholar programs, doctoral dissertation programs, and training grants generally) including maintenance of program plans and systems for use in tracking applications, awards, and compliance with award requirements.
  • Coordinate activities related to the implementation of training courses and continuing education for students and professionals (including Urban Health Summer Institute courses, the Drexel-INCAP workshop, and other orientations, courses and workshops) including developing and maintaining systems for delivering courses and communicating with trainees and instructors.
  • Plan and staff meetings (relevant to orientation, skill-building, networking, and planning), including gathering input on agenda items, setting up and troubleshooting of videoconference, taking minutes, and tracking action items for follow-up.
  • Support the interface of trainees and training programs with business manager and university systems such as accounts, human resources, procurement, and international visa office during personnel onboarding, transitions, and for events relevant to training.
  • Create documents and materials as needed including PowerPoint Presentations, spreadsheets, and online documents including Google Docs/Sheets/Forms. Proofread and format documents and materials as needed.
  • Organize and maintain documentation including contact lists (advisory committee, mentors, alumni recruitment partners), calendars, mentor support materials, and funder communications.
  • Create reports analyzing the results and evaluations of training activities, and track feedback to assist in improving efficiency and effectiveness of training content and methods used.
  • Screen, triage, and reply to inquiries relevant to training opportunities, serving as a main point of contact for prospectively, currently, and formerly engaged trainees.
  • Interact with and manage communications with internal and external (including international) training partners.
  • Support updates and dissemination of online materials describing training programs and forms for evaluating training opportunities.
  • Engage in ongoing initiatives across UHC, such as strategic planning and anti-racist organizational change.

Required Qualifications

  • Bachelor’s Degree in Public Health or related field
  • At least 2 years of related experience as a program coordinator or similar position
  • Other requirements
  • Strong coordination and time management skills.
  • Proficiency in MS Office Suite, Smartsheet, Google Drive and other Google platforms.
  • Strong oral, written and interpersonal communication skills.
  • Detail oriented, highly organized and able to work independently.
  • Sensitivity to cultural differences and language differences.

Preferred Qualifications

  • Basic proficiency in Spanish highly desirable
  • Graduate (Master's degree or doctoral training) in Education, Public Health, or a related field.
  • Experience with federal (e.g., National Institutes of Health) grant proposal development and reporting.
  • Experience supporting urban health, global health, and/or public health training programs.
  • Experience planning and implementing events of a range of sizes (from 20 people to 200+ people).
  • Experience working with Drop Box and Zoom
