Early College Pathway Coordinator - Mountain House Campus

Job Description

Responsible for coordinating all administrative aspects, supporting the day-to-day operation of the Early College Pathway activities and projects with the goals of the college, and the needs of the community. Under the direction of an assigned administrator, performs a variety of complex and technical administrative and research duties in support of a District operation.

SUPERVISION RECEIVED AND EXERCISED

Receives general supervision from an assigned senior level management.

Exercise technical and functional oversight of lower-level support staff and/or student workers.

RESPONSIBILITIES AND DUTIES


  • Perform a variety of complex, technical, and responsible administrative activities in support of District operation or function.

  • Participate in the development and implementation of operations, administrative, and program policies and procedures.

  • Coordinate day-to-day operations of the Mountain House Campus. Lead, schedule, and oversee lower-level staff.

  • Respond to complaints from faculty, staff, and students.

  • Coordinate all aspects of the Early College Pathway Program.

  • Assist District counselor with planning and developing operative Early College Pathway education plans by creating semester class schedules, requesting for appropriate and effective instructors.

  • Collaborate with instructional deans regarding Mountain House class offerings, Early College Pathway class sections, instructor staffing, and classroom logistics. Develop and review Mountain House Campus semester class schedule.

  • Direct and assist staff with outreach materials preparation and marketing for Early College Pathways program with multiple school districts.

  • Train and assist Early College Pathway staff in producing accurate record keeping for Early College Pathways program and multiple school districts; maintain accurate databases. Lead, schedule, and direct students and lower-level staff.

  • Perform complex word processing (variety of correspondence, letters, and memos), spreadsheet, presentations, and report writing tasks using a wide variety of software applications and techniques.

  • Serve as the Early College Pathway liaison between the District and other school district management and personnel. Provide ongoing information, as necessary.

  • Coordinate meetings between District counselor and Early College Pathways high school liaisons.

  • Attend and participate in a variety of professional meetings; research, compile information, prepare agendas, and minutes, as necessary.

  • Oversee the development and creation of Early College Pathways and Mountain House Campus marketing.

  • Collaborate with District counselor and other Early College Pathway staff with increasing enrollment.

  • Assist in preparation, development, and maintenance of the unit budget; analyze and summarize budget expenditures. Process and monitor financial transactions.

  • Order, issue, and inventory unit supplies. Manage annual inventory of the assigned area equipment.

  • Coordinate with Information Technology regarding the assigned area computer and technology requirements and repairs.

  • Coordinate with Maintenance and Facilities regarding the assigned area requirements and repairs.

  • Coordinate complex events and activities; oversee planning, preparation, arrangements, operation, staffing, and evaluation, as required.

  • Recruit, schedule, and train student employees.

  • Verify work assigned to student employees for accuracy, proper work methods, techniques, and compliance.


QUALIFICATIONS

Knowledge of:

  • Leadership skills and a proactive approach for handling changes and personnel, streamlining processes, and dealing with on-campus and off-campus emergencies
  • Understand scope of authority in making independent decisions
  • Organization and management practices as applied to the development, analysis, and evaluation of programs and operational needs of the assigned functions
  • Administrative principles and practices including goal setting, program development, implementation, evaluation, project management, record keeping and database management
  • Early College Pathway program (4-year educational plan with scheduling cohort classes for multiple high school districts including articulation, appeals, graduation application, CES forms, recruitment, marketing, application, orientation/registration
  • Mountain House Campus class schedule creation
  • Effective communication using oral, written, and visual mediums to support a diverse age group and constituency
  • Research, report preparation and writing methods, as well as principles of business letter writing using proper language usage, spelling, grammar, and punctuation
  • Mathematics, statistical analysis practices, budget planning and maintenance
  • Office procedures, methods, and equipment including computer processes, word processing software, spreadsheets, presentation software, and database software
  • Emotional intelligence, relationship establishment and maintenance with different age groups, logic, and adaptability to change
  • Techniques for providing a high level of customer service by effectively dealing with the public, vendors, students, and District and High School staff including individuals of various ages, disabilities, socio-economic and ethnic groups
  • Principles and practices of training staff in work procedures, employee supervision, including work planning, assignment, review and evaluation
  • Pertinent Federal, State, and local codes, laws, and regulations.

  • Independently prepare concise reports, correspondence, policies, procedures, and other written materials while maintaining accurate and complete records and documentation
  • Maintain a calendar of activities; schedule meetings appropriately
  • Operate office equipment including computers, scanners, printers, and copiers
  • Establish and maintain effective working relationships
  • Support the District in achieving its mission, vision, and strategic goals as appropriate in carrying out the duties of this position with a focus on student success, service excellence, and willingness to assist colleagues as needed
  • Demonstrate sensitivity and understanding of the diverse academic, socioeconomic, cultural, linguistic, ethnicity, and disabilities of community college students and staff


Education:

Bachelor's degree from an accredited college or university with major coursework in public administration, education, outreach, marketing, communications, or related field.

Experience:

A minimum of Six (6) years of increasingly responsible administrative support or program coordination experience required. With at least two (2) years of lead or supervisory experience. Experience in a higher education environment or public agency preferred.

License/Certificate:

A valid Class "C: California Drivers' License
