The Stanford School of Earth, Energy & Environmental Sciences (Stanford Earth) develops the knowledge and talent to understand the workings of the planet and to help solve resource and environmental challenges. Stanford is taking the historic step of creating a new school that will be focused on climate and sustainability, the first new school at the university in more than 70 years.  Stanford Earth will become part of the Stanford Doerr School of Sustainability which will work towards a unifying goal of creating a future in which humans and nature thrive together in concert and in perpetuity. The first new Department approved as part of the Doerr School is the Oceans Department. The Oceans are Earth’s last frontier and are vital for our health and future.  The mission of the Oceans Department is to Discover, Educate, and Innovate to support a Known, Sustainable, and Equitable Ocean. The department aims to create transformative ocean research, education, and impact through interdisciplinary collaboration, technology development, use-inspired research, immersive education and training, innovative solutions, and the exploration of the ocean at all scales and domains of knowledge, thereby providing oceans-based foundations for problem-solving in the major challenges of global environmental sustainability and planetary stewardship. Researchers will carry out basic and applied research and train graduate, undergraduate, and post-graduate students in existing and newly emerging fields of ocean science, technology, and policy. The Oceans Department will support the critical activities needed for breakthrough ocean teaching and research, from basic and use inspired research to fundamental discovery and impact, including broad interdisciplinary and system-based approaches to addressing global ocean challenges. Our mission and vision will be amplified by strong and durable linkages to other existing and emerging units in the new school and across campus.

A critical and major component of Stanford Oceans is Hopkins Marine Station (HMS) located in Monterey Bay in Pacific Grove, California. HMS has over a 130 year-long tradition as a renowned marine biological station that has been part, up to now, of Stanford’s Biology department. HMS and most of its faculty will be joining the new Oceans Department, which will enable collaboration and connection with all of Stanford and will create linked ocean neighborhoods - in Monterey Bay and Stanford’s main campus.

The Department is seeking an experienced student services professional to join our team. The Assistant Director of Student Services will be responsible for all student services matters.

Your Responsibilities will include:

  • Manage all aspects of graduate student program, including interpretation of policies, analysis and problem solving, and advising/recommending action plans that support individual and cohort success
  • Work with Admissions Committee to support annual process, including communication and complex statistical analysis.  
  • Oversee student progress, monitoring candidacy, TGR status, and timely compliance with department-set milestones.  
  • Manage course scheduling, Stanford Bulletin entries, room scheduling, and other logistics related to academic operation
  • Manage postdoctoral scholar appointments.
  • Oversee and implement the setup and maintenance of financial aid and other support for all graduate students and postdoctoral scholars.
  • May train and supervise other staff, volunteers, and temporary workers.

To be successful in this position, you will need:
Education & Experience:

Bachelor’s degree and a minimum of three years of relevant experience, or combination of education and relevant experience.

Knowledge, Skills and Abilities:

  • Strong communication skills to clearly and effectively communicate information to internal and external audiences, and management.
  • Advanced analysis and problem-solving skills.
  • Advanced computer skills, including experience with Microsoft Office Suite.
  • Advanced customer service skills.
  • Understanding of financial transactions.
  • Ability to ensure and apply compliance with legal, financial, and university policies and external regulations.

In addition, our preferred requirements include:

  • Knowledge of Stanford University systems and policies

Physical Requirements

  • Frequently sit, perform desk-based computer tasks.
  • Occasionally stand, walk, twist, use fine manipulation, grasp, use a telephone, write by hand, sort and file paperwork, lift, carry, push, and pull objects that weigh up to 10 pounds.
