The School of Life Sciences seeks an academic advising professional to join our undergraduate advising team as an Academic Success Advisor Coordinator. This position reports to the Assistant Director of Academic Advising and works as part of a leadership team to support our campus-based immersion students pursuing Biological Sciences, Molecular Biosciences/Biotechnology, and Microbiology degrees. Under general supervision, the Academic Success Advisor Coordinator is responsible for advising a caseload of students while assisting with administrative processes for over 3500 students taking classes on the Tempe campus. Additionally, this unique position will serve as a senior resource for professional staff while making strategic recommendations that support the advising enterprise.

Essential Duties

Academic Advising:

  • Provides personalized, intentional, and holistic academic advising support to students to ensure successful transition to ASU and ongoing success as a student.
  • Demonstrates a thorough understanding of the program requirements for which the coordinator is assigned.
  • Works to maintain an understanding of all majors within SOLS, providing advising and assistance where needed.
  • Provides individual and group academic advising and/or interacts with students in support of academic success.
  • Acts as liaison, working collaboratively with students, faculty, and staff to support student academic success.
  • May seek to resolve complex issues and takes the lead on projects built around student support.
  • Monitors student academic progress through a variety of tools including Advisor Portal, Analytics, DARS, PeopleSoft, and Salesforce.
  • Works collaboratively and collegially with Assistant Director and SOLS leadership, faculty, staff, and other university administrators to implement policies and practices in support of college, school, and university goals.

Leadership:

  • Works with minimal supervision to handle complex problems, provide guidance, and oversee specific advising functions.
  • Serves as a front-line source of information for students and academic advisors.
  • Manages escalated issues from both internal and external constituencies.
  • Participates in professional development activities to increase awareness and deepen knowledge in advising principles and practices.
  • Actively shares and responds to feedback and insight regarding technology systems and their daily use, demonstrating leadership to staff and student employees.
  • Drives unit initiatives with holistic understanding of the unit goals.
  • Collaborates with SOLS leadership to provide solutions associated with specific programs or projects.

Administrative:

  • Coordinates training and development related to onboarding and training of new staff members; may also serve on various search committees.
  • Provides oversight of Salesforce case management for the immersion team, serving as the primary point of contact for advisor training and inquiries.
  • Monitors enrollment in program courses; works with Assistant Director to add additional seats when necessary.
  • Evaluates and makes recommendations on overrides, petitions, and requests for adjustments to student's program of study or DARS report.

Minimum Qualifications

Master’s degree in a related field and two (2) years or more of the following: advising or related student services utilizing a proactive and innovative approach which results in demonstrated outcomes in Academic Success Advising Coordinator retention, graduation, and academic planning; Or, any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Two (2) years of experience as an academic advisor in the School of Life Sciences or two (2) years of academic advising experience at ASU.
  • Demonstrated knowledge of principles, practices, procedures and methods of evidence-based academic advising strategies.
  • Experience in directing and providing support to undergraduate students enrolled at the university.
  • Experience in problem-solving skills, adapting at navigating complex environments with evolving priorities and communication plans.
  • Experience in establishing and maintaining effective working relationships with peers, faculty, students, administration and other interested parties.
  • Experience in utilizing knowledge of subject area(s) to identify solutions to issues; escalates urgent/conflicting requests.
  • Experience in rapidly mastering the essential new technology, practices, policies and methods.
  • Experience in problem solving, taking initiative and setting priorities, while being flexible.
  • Experience in developing action plans to meet goals, establishing milestones and timetables.
  • Experience in leading by example in communicating, participating and encouraging support of the institution’s sustainability programs.
  • Experience in demonstrating sensitivity to needs of a diverse student population.
  • Experience in working collaboratively with a broad and diverse range of colleagues, constituents and students.
  • Demonstrated use of the essential functions of critical student service systems such as PeopleSoft, DARS, Salesforce, Advisor Portal, Microsoft Office suite, and other tools as introduced.

Working Environment

  • This position is based on-campus in Tempe, Arizona.
  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals;
  • This position receives regular review of objectives by department administrator.
