Overview
The School of Environmental and Biological Sciences, located on the George H. Cook Campus, is one of the largest schools of Rutgers University in New Brunswick, New Jersey. We pursue excellence in research, teaching, and outreach in areas of study that address the biological spectrum from molecules to ecosystems. Our emphasis is on both the fundamental sciences and the social and human dimensions. We offer 21 undergraduate majors, including plant and animal sciences, microbiology, biotechnology, agriculture and food systems, landscape architecture, food and nutritional sciences, ecology and evolution, marine science and oceanography, environmental sciences and meteorology, human ecology, entomology, and environmental economics.
In addition to instruction in the classroom, field, and laboratory, our students have opportunities for experiential learning on and off campus, including a growing emphasis on international experiences through short- and long-term study abroad. Students also have access to a robust program of applied research and outreach hosted by the New Jersey Agricultural Experiment Station laboratories, farms, business incubators, and marine stations throughout the state.
Posting Summary
Rutgers, The State University of New Jersey, is seeking a Department Administrator. Reporting to the Director of Planning and Budgets. This position is the main point of contact serving the Director Planning and Budget who oversees position management for the School of Environmental and Biological Sciences and the New Jersey Agricultural Experiment Station. This position is responsible for implementing and maintaining a functioning tracking system of all Dean supported Positions. Work is consistent with an understanding of the mission, vision, role, and goals of the administrative, academic, research and cooperative extension unit. Carries out routine and semi-routine work within the work parameters for the department and under general supervision.
Among the key duties of this position are:
  • Performs professional work that requires knowledge of Hyperion Workforce Administration.
  • Coordinates financial administration for the School of Environmental and Biological Sciences and the New Jersey Agricultural Experiment Station.
  • Responsible for analysis, evaluations and resolution of special payroll and budgetary problems for an organization containing over 1,200 employees through individual effort and/or through the coordination and leadership of group activity.
  • Understanding the objectives encompassing a wide range of business activities, including finance, budgeting, accounting and policy administration for the School of Environmental and Biological Sciences.
  • Responsible for having expert knowledge of the salary budget process.
  • Responsible for processing all administrative supplements for Term Appointments.
  • Provides resolutions to a diverse range of salary/financial issues consistent with an understanding of the mission and the vision of the Office of Planning & Budget.
  • Performs professional work requiring knowledge of generally accepted accounting principles and practices, and a solid understanding and application of concepts, theories, principles, practices, regulations and terminology, and applied bases in that area.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in a related field or an equivalent combination of education and/or experience
  • A minimum of two years relevant experience in a program coordination or administrative function, good communication skills, and computer literacy, general accounting experience, including knowledge of University payroll/budgeting operations and project management processes
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Strong organizational and interpersonal skills
  • Ability to multitask
  • Thorough knowledge of university payroll procedures and principles.
  • Knowledge of Excel, Word, Oracle Peoplesoft and other financial software programs.
Preferred Qualifications
  • Knowledge of Oracle Application and Tableau desktop systems strongly preferred. EXCEL and Pivot Tables.
Equipment Utilized
  • Rutgers Financial business systems and software, Microsoft Office and Outlook.
