Events and Student Programming Administrator

Stanford University

Job Description

The School of Humanities and Sciences (H&S) is the foundation of a liberal arts education at Stanford. The school encompasses 23 departments and 25 interdisciplinary programs. H&S is home to fundamental and applied research, where free, open, and critical inquiry is pursued across disciplines. As the university’s largest school, H&S serves as the foundation of a Stanford undergraduate education no matter which discipline students pursue as a major. Graduate students work alongside world-renowned faculty to pursue and shape foundational research that leads to breakthroughs and discoveries that shed new light on the past, influence the present, and shape the future. Together, faculty and students in H&S engage in inspirational teaching, learning, and research every day.

The McCoy Family Center for Ethics in Society is a campus-wide center committed to bringing ethical reflection to bear on important social problems through research, teaching, and community engagement. In addition to our offerings for students, postdoctoral fellows, and the general public, the Center also houses two dynamic and rapidly growing programs: the Stanford Basic Income Lab (BIL) and the Ethics, Society and Technology Hub (EST Hub).

Both of these exciting programs play a vital role in conversations on and off campus. BIL is playing an integral part in the national conversation about basic income by conducting academic research, disseminating findings, and developing policy recommendations. And the EST Hub is working to create a fundamental shift in how Stanford faculty, staff, and students think about their role as enablers and shapers of scientific discovery and technological change in society.

The Events and Student Programming Administrator primarily supports the work of The McCoy Family Center for Ethics in Society but some tasks are also in support of BIL and the EST Hub.

We are seeking a self-motivated, detailed-oriented, and innovative individual to be our Events and Student Programming Administrator. This is a unique opportunity to be involved in all aspects of the Center and to be a creative contributor on multiple levels. We are looking for someone who is eager to be exposed to ethical reflection about pressing social problems, and who has an interest in gaining a better understanding of many facets of university life. Through our public programming there is also an opportunity to listen to and learn from diverse speakers addressing important topics of the day. We hope to find someone who is eager to learn, to take ownership of the role, and to grow with us.

This position is responsible for four main buckets -

  • All aspects of our undergraduate Honors Program (e.g., meeting with students, publicizing the program, confirming degree milestones, supporting the faculty director)
  • General administrative tasks related to undergraduate education (e.g., scheduling classes, reserving rooms, submitting course descriptions)
  • Administration of our graduate and postdoctoral fellowships (e.g., publicizing the fellowships, collecting applications, completing the appointment process, arranging visas for international fellows)
  • Event logistics (e.g., reserving venues, arranging AV/technical support, providing Zoom technical support if needed, ordering food)

Our ideal candidate will -

  • Enjoy interacting with undergraduate students, graduate students and postdoctoral fellows.
  • Appreciate exposure to ethical reflection about pressing policy issues
  • Quickly acquire knowledge of university policies, systems, and practices and stay current on those policies.
  • Be able to work both independently with minimal supervision and also as part of a team.
  • Be comfortable changing tasks quickly in an environment with regular interruptions and shifting priorities.
  • Be a good written and verbal communicator.
  • Demonstrate strong problem-solving skills.
  • Work collaboratively with colleagues at all levels of the university.
  • Be available to work approximately 4 evenings per month and an occasional weekend.
  • And definitely have a good sense of humor and be ready to jump in to support our joint work as needed.

We are a strong team of seven full time staff that has a deep commitment to teamwork and collaboration. We actively promote opportunities for professional growth and work hard to create a positive working experience for all of us. We look forward to adding a new staff member to our team.

This is a 100% FTE, 2-year fixed term with the possibility of renewal, non-exempt hybrid position with regular work being done on campus and remotely.
