Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Supervisor for the Surgery, Vascular and Urology Residency department within the Robert Wood Johnson Medical School. Under the direction of the Program Directors and Senior Director of Administration, the Program Supervisor coordinates large, multiple and complex programs of residents. The Program Supervisor also performs supervisory and managerial duties as related to planning, oversight, implementation and coordination of the academic, operational, and financial activities of the programs. 
Among the key duties of this position are the following: 
  • Manages residency program operational activities and ensures residency program goals and objectives are accomplished. Ensures all residency verifications are completed.
  • Participates with the Program Directors and faculty in program planning and in the development of residency program
    academic and clinical requirements to ensure accreditation standards are maintained and met. Ensures all mandatory
    committees are assembled, meet, have agendas, follow up on all issues and maintain all meeting minutes as required by both
    the medical school and regulatory bodies.
  • Consults with and implements all process improvement activities regarding pertinent issues concerning resident selection,
    appointment and reappointment to program. Reviews, assimilates and analyzes routine resident satisfaction surveys in order
    to demonstrate all areas of concern are addressed and improved.
  • Advises Program Directors and assists in responding to and resolving resident issues and program administrative
    problems.
  • Coordinates and manages the process for resident recruitment and hiring process. Ensures all committee members have all  necessary candidate information, personally reviews all candidates for preliminary inclusion or exclusion based on parameters set by the program. 
  • Organizes residency program workload; monitors status of work in progress and keeps the Program Directors informed of activity priorities and deadlines.
  • Provides management support to residency program personnel (faculty, resident, and staff) by interpreting organizational and departmental policies, standards, operational procedures, and guidelines. Develops and implements all necessary policies in coordination with the Program Directors.
  • Participates in residency program block rotation schedules along with the residency program directors, faculty and chief residents. Monitors resident schedules to ensure compliance to ACGME work hours rules by other residents and faculty. Bring discrepancies to the attention of all affected parties for correction.
  • Residency programs liaison with the GME Office and various other agencies, organizations, and groups. Prepares a variety of documentation associated with residency program operations.
  • Assists department administrator, GME Office and finance in the preparation of the program budget.
  • Supervises program staff personnel. Oversees staff hires, promotions, merit increases, disciplinary actions and other personnel changes in accordance with established University policies. Reviews work to ensure all programmatic functions are within guidelines and regulations.
  • Responsible for computerized information systems administration related to collecting and storing program data, generating management reports and documentation. Ensures all data is entered in a timely and accurate manner and in accordance with all regulatory bodies.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Bachelor’s Degree in Public Health Administration, Health Education, Hospital Health Care Administration, Public Administration or Business Administration or a related field or significant prior experience.
  • A minimum of four (4) years of program administration experience in an academic, medical, or equivalent environment and one (1) year of lead or leadership/supervisory experience. 
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Excellent writing, organization and communication skills.
  • Outstanding human relations and leadership skills and the ability to function in a team environment. 

Preferred Qualifications
  • Master’s Degree preferred.
