Rutgers University- Newark (RU-N), an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise is seeking a Sr. Program Coordinator. Reporting to the Senior Department Administrator of the Part Time Lecturer (PTL) Office of the Dean for Rutgers Business School – Newark and New Brunswick, with a dotted line to the Sr. Associate Dean for Finance and Administration, this position is responsible for the overall day-to-day data management and operational phases for the PTL and coadjutant appointment process for all Rutgers Business School locations.
This position is responsible for and not limited to the following.
  • Collects, maintains, and updates the central database
  • Provides data analysis, research, process generation, and execution, and assists in program coordination
  • Ensures the PTL office supports the short- and long-term goals of the Rutgers Business School and the University.
  • Develops and implements management policies and practices that assure the effectiveness and use of systems and processes in accordance with university policies and regulations, union contracts, and the RBS’s overall goals and mission
  • Commutes between the New Brunswick and Newark campuses

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption. Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility . Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC). Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine . Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Requires a bachelor’s degree; or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of administration
  • Requires a minimum of two years of relevant experience in an administrative function, excellent written and oral communication skills, organizational skills, and strong computer literacy, including Microsoft Office Suite and use of databases

Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Bachelor’s degree with three years of data management, PTL/coadjutant/faculty, and operational experiences as well as working in a university in an academic setting and/or equivalent combination of education and experience
  • Must be able to actively and positively engage with members of the community, inspiring and motivating colleagues to participate in a cohesive and productive workplace culture
  • Ability to work across both Windows and Mac platforms
  • Demonstrates considerable knowledge of PTL and faculty processes
  • Possesses knowledge of union contracts associated with class hires currently processed by the PTL Office
  • Experience with data management, setting up of data inquiries, report preparation, etc.
  • Ability to plan, organize and present training activities to diverse groups
  • Ability to establish and maintain effective working relationships
  • Requires excellent oral and written communication skills, organizational and time management skills
  • Experience working in a high-level confidential environment
  • Extensive experience managing high volume of PTL and coadjutant contracts (teaching, non-teaching, non-credit)
  • Ability to manage a high volume of working a fast-paced rapidly changing environment
  • Ability to coordinate with multiple stakeholders and serving multiple customers in a fast-paced environment
  • Requires some project management experience in a comprehensive research university with a high volume of transactions

  • Must have knowledge of MS Office suite, Adobe, DocuSign, plus Rutgers university databases (Data Dictionary, Tableau, Cornerstone, ROCS, etc.)
Physical Demands and Work Environment
  • Ability to lift up to 20 lbs
  • Requires travel between the New Brunswick and Newark campuses
