Job Summary

The Department of Basic Medical Sciences (BMS) in Purdue's College of Veterinary Medicine is looking for a Senior Administrative Assistant. BMS is a small department that supports ideas and innovations to enhance the climate and work environment for students, staff, and faculty. The person in this position is the initial contact for the departmental office and serves as graduate coordinator for the departmental graduate program (processing of  all graduate applications and assisting students with registration and various aspects of their programs); coordinates faculty meetings and professional development documentation; assists the department head with faculty promotions, including preparation of promotion documents; serves as liaison between the department and the Office of International Students and Scholars; prepares letters of offer for postdoctoral fellows, graduate students, and teaching assistants; and provides clerical and administrative support for faculty searches.
 
Additional duties include coordination of departmental events (including virtual events); serving as a liaison between the department and the building deputy; coordinating with Business Manager on Departmental purchases; maintaining the Department Head’s calendar; communicating with other units, both internal and external to Purdue; mentoring and training other office support staff; and performing numerous other tasks to assist the Department Head and Faculty in performance of their duties. 

 

Required:

  • High school diploma or equivalent 
  • A minimum of three years of experience in an administrative support role
  • Excellent verbal and written communication skills
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality
  • Strong organizational and time management skills and attention to detail
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes
  • Ability to identify problems and implement or recommend solutions
  • Drafting, proofreading and editing skills
