Department/Division Purpose (brief description of main function):

The Office of the Dean of Arts & Sciences exists to provide academic leadership across the division, including all teaching sites and campuses. It ensures academic quality, consistency, support, and student success.

This position specifically exist to provide assistance to the Division Dean and Department Chairs in meeting the needs of each Arts & Sciences Department and/or program across all campuses and all teaching sites of the College. The Division’s Academic Excellence Administrator (AEA) coordinates the Division’s instructional delivery, including scheduling, enrollment monitoring, course staffing, FLAC data preparation, part-time instructor orientation, student advising and support, and conducting teaching observations. This position serves to facilitate enrollment management and instructional delivery in Arts & Sciences programs at all campuses and teaching locations.

This position has been identified by Pueblo Community College as a Campus Security Authority in accordance with the Department of Education guidelines. As a Campus Security Authority, the incumbent in this position is required to report crimes that they become aware of to the Department of Public Safety at Pueblo Community College and must attend annual training related to these responsibilities.

Job Duties

Essential Functions:
Operational Procedures: Support the Dean of Arts and Sciences (A&S) and the Department chairs by: maintaining and using enrollment-management spreadsheets and reports; monitoring current and future course schedules; continually monitoring enrollments and seat availability in face-to-face, hybrid, PCC Online, and distanced-ed (virtual) sections; working with the Dean, Chairs, and the PCC Scheduler to open new course sections and build, merge, or modify course sections when needed; contacting students to notify them of schedule changes; gathering instructional assignment from Department Chairs and entering them into Banner in a timely fashion; observing the CCCS ’10-day Convenience Rule’ regarding prorate teaching assignments; working with the Concurrent Enrollment (CE) Coordinator to modify and CE student registrations; producing occasional or seasonal data reports for the Dean; assisting the Division admins with Faculty Load & Compensation (FLAC) by preparing accurate course, instructor, and salary data for FLAC Processing, and liaising continually with branch campus leadership regarding A&S curriculum and instructional delivery.

Instructional and Curricular Support: Maintaining and updating all A&S Curriculum Maps and updating the Registrar with changes as needed; reviewing and approving graduation planning forms and documentation for generic degrees; advising students in A&S programs throughout the year; logging advising notes and issues Alerts via Navigate as needed; working closely with Advisors, Coaches, and other stud to support students and coordinate their care; reaching out proactively to students and connecting them to the offices/recourses necessary to persist; using data to wage proactive, seasonal outreach campaigns related to registration and advising; serving as a Super-User and trainer for EAB Navigate; monitoring D2L, the campus Learning Management System, periodically to ensure that faculty and instructional staff are using and updating it in all required ways. Taking part in Registration-promotion activities. Occasionally assisting the coordinator of AAA 109 (First Year Experience course) with his/her instructor recruiting and orientation efforts.

Part-Time Instructor Support: Together with AEAs from other Academic Divisions, aid the Coordinator of the office of the Vice President of Academic Support with design, preparation, and delivery of Part-Time Instructor Orientations. Provide scheduled and at-need training and A&S Part-Time Instructors on the use of Banner, D2L, EAB Navigate, and Cisco/WebEx. Performing and documenting regular classroom teaching observations of Part-Time Instructors (at all campuses, sites, and high schools in the Pueblo Area, Canon City area if needed, and once annually at the PCC Southwest campuses/sites), and conducting feedback sessions with observed instructors.

Program Support: Aid Department Chairs as needed with special projects, such as those related to program promotion, marketing, recruiting, transfer, etc. Design and lead proactive, seasonal, enrollment outreach campaigns (variable by phone, email, text, and via social media, etc.) in conjunction with the Customer Solutions Center and/or the office of Marketing & Communication. Attend College and Division meetings, assist in notetaking and/or provide other meeting operational support with Administrative Assistants are away. Participate on College committees and task forces. Other duties and responsibilities as assigned by the Academic Dean.

Non-Essential Functions:
Represent the Division by communicating with students and the public during PCC-sponsored activities. Attend and assist in staging the annual graduation ceremony.

Education:
Bachelor’s Degree

Licenses or Certificates:
N/A

Experience:
Experience as an instructor at an accredited college or university
2 years of experience as an administrator or student support specialist at an accredited college or university
Experience working independently to set priorities, meet deadlines, and problem solve
Verifiable experience using Microsoft Office suite to include Word, PowerPoint, and Excel
Verifiable success in a position requiring effective communication with faculty, staff, and administrators
Experience using a learning management system (D2L, Blackboard, WebCT, etc.)

Excellent written and verbal communication skills
Strong organizational skills
Ability to coordinate several tasks simultaneously
Demonstrated skill working with a diverse population
Ability to communicate clearly to multiple diverse groups to include administration, stakeholders, employees, and students.

Experience:
5 years of experience as an administrator or student support specialist at an accredited college or university
Experience delivering academic advising
Experience managing projects with measurable goals, objectives, and deadlines
Experience working with banner ERP (Student record management software)

Special knowledge, skills, and abilities:
Advanced user of Microsoft Excel, including designing V-lookups, Pivot-tables, and basic Macros.
Demonstrated success increasing diversity of students/employees and implementing diversity initiatives.
