Job Description

The Registrar and Director of Student Services is responsible for strategic leadership, planning, and oversight in the Office Student Services and Records. The position is responsible for the maintenance and integrity of student academic records in accordance with institutional policies and procedures, assisting the Office of Enrollment Services, Dual Enrollment, and other offices in compliance with regulatory standards and registration processes. The position will be tasked in overseeing all functions related to keeping the Registrar’s and Student Services Offices operating at optimal efficiency and effectiveness.


This position is based at the Alexander City campus.
Essential Duties and Responsibilities
  • Complies with all policies and guidelines as specified by the Alabama Community College System, Alabama Community College System Board of Trustees, SACSCOC, Central Alabama Community College and other applicable state and federal guidelines.
  • Coordinates efforts of the Office of Student Services and Office of Records according to state, local, and federal laws and regulations.
  • Verifies graduation requirements for certification.
  • Assists with management of departmental budgets and submits budget for Student Services and Records Office.
  • Orders graduation diplomas and responds to transcript requests in timely manner.
  • Manages coding of degrees and degree requirements in student information system.
  • Coordinates registration each term and assists with the preparation of registration each term.
  • Administers grade report programs and manages grade processing for students.
  • Facilitates and oversees student graduation requirements, which include notifying students of requirements needed, coding graduates in the college information system, ordering diplomas, and assisting with graduation evaluations for all campus sites.
  • Prepares and submits required reports in the Student Services Division.
  • Monitors academic progress of students and notifies students of academic status.
  • Responsible for transcript evaluation process to include directly processing requests, as needed.
  • Responsible for student services counseling, retention and other duties related to tracking student progress and success to degree completion.
  • Serve as CRM Administrator for TargetX Retention Suite.
  • Familiar with Americans with Disabilities Act, and processes related to disability services programs.
  • Serves on the Graduation Committee and Honors Day Committee and assists with coordinating the events.
  • Provides assistance to the Athletic Director with completion of athletic eligibility rosters.
  • Manages printing and processing of college transcripts and updates forms.
  • Assists with new student orientation.
  • Coordinates efforts with IT staff to maintain and update programs relating to the processing of student records including college information system upgrades to student files.
  • Ensures institutional compliance with the Federal Educational Privacy Act (FERPA), which includes responding to subpoenas, confidentiality of student records, and notifying students, faculty and staff annually of FERPA requirements.
  • Maintains historical student enrollment data for institutional purposes and complies with State Records manual for records Retention and Disposal as published by the Department of Archives and History.
  • Responsible for all beginning and end of term processes.
  • Serves as the official approval authority for access to student information system and the college lead over the Banner student module.
  • Responsible for oversight of student services clubs/organizations.
  • Provides daily management of the Office of Student Services and Office of Records with responsibility and oversight over student services staff performing duties related to disability services, transcript processing and evaluation, registration related processing to include drop/add/withdrawals, student organizations, retention, and staff counseling at all college locations.
  • Serves as main point of contact for working with third party vendors related to transcript management, CRM, National Student Clearinghouse, etc.
  • Completes and administers annual personnel evaluations.
  • Assists in recruitment of students for the College and represents the College as directed at college and community events.
  • Participates in professional development activities to include attending conferences and workshops and providing training to team.
  • Serves on college committees and attends meetings as assigned.
  • Performs other duties as assigned that relate to the position and to support and facilitate the day-to- day operations of the Office of Records and Office of Student Services.
  • Reviews and submits student services forms and data in timely manner as directed.
  • Prepares required reports as required by Central Alabama Community College, the Alabama Community College System, and other regulatory agencies.
  • Provides assistance in all areas within Student Services or for other departments as assigned.
Qualifications
  • Bachelor’s degree from a regionally accredited institution is required.
  • Master’s degree from a regionally accredited institution is preferred.
  • Minimum of three-year’s experience working in a postsecondary setting is required.
  • Minimum of three-year’s experience working in student services or a service or business environment is required.
  • Experience working as a Records Manager or Registrar’s Office related work is required; five years of experience preferred.
  • Strong computer skills are required (Excel, Word, Microsoft Office Suite, etc.).
  • Demonstrated ability to manage an office is required.
  • Ability to multi-task and make decisions independently is required.
  • Exceptional listening, verbal, written, organizational and interpersonal skills is required.
  • Ability to work with students from diverse backgrounds is required.
  • Ability to exhibit professionalism and interacting well with students, faculty, staff and the public is required.
  • Analytical reasoning ability and problem-solving skills is required.
  • Ability to work a flexible schedule is required.
  • Ability to travel to various campus sites and general traveling is required.
  • Ability to maintain confidentiality is required.
  • Ability to read, understand, and comply with Federal, State, and local guidelines and governing policy is required.
  • Supervision of and evaluating personnel is required; three years of experience preferred.
  • Experience with postsecondary education student information systems (Ellucian Colleague or Banner, PeopleSoft, etc.) is required.
  • Banner experience highly preferred.
