Position Summary
For over 150 years, the American Museum of Natural History (AMNH) in NYC has been dedicated to discovering, interpreting, and disseminating – through scientific research and education – knowledge about human cultures, the natural world, and the universe.

Our Museum is seeking an Operations Manager for Children, Family and Youth Programs who would work with two departments: Youth Initiatives (YI) and Children and Family Learning (CFL). The CFL group focuses on children ages 2-10 and their caregivers. The YI group focuses on youth ages 11 to college and beyond. In both groups, there are year-long and multi-year experience and vacation camps.

The Operations Manager will be responsible for overseeing all aspects of administration specifically related to these two departments and working collaboratively with administration teams across the Museum to advance our projects. The Operations Manager will also supervise at least one administrative assistant.
Position Summary
The Operations Manager reports to the Senior Director for Children, Family and Youth Learning, and works closely with the heads of YI and CFL. In this role, the manager is a key figure that ensures all operations are running smoothly so that program leaders and educators can effectively engage audiences. Program participant paperwork, budgets, federal paperwork, room bookings and overall office support are central responsibilities.

Responsibilities include, but are not limited to:
  • Manage the room booking process for all programs
  • Ensure federal grant compliance: effort certifications, contracting, invoicing from consultants and sub-awardees, processing stipends for project participants etc.
  • Serve as liaison with colleagues in Education and HR for all open positions that need to be approved, posted and advertised
  • Co-lead with program managers the admissions and enrollment process for all children and youth participants, manage tuition tracking and process tuition aid paperwork
  • Serve as liaison to the Communications department and manage website updates for YI and CFL, shepherd the production of digital and print flyers and brochures
  • Support the directors of each group with budget development, monitor and track spending and revenue earned
  • Support administrative team with payroll biweekly
  • Serve as key liaison for office support, facility requests, etc, support with understanding and complying with museum procedures

Required Qualifications
  • B.A. or equivalent degree in administration or relevant field
  • 3 years of experience in administrative role in a busy, complex work environment
  • 1 year experience in a supervisory role
  • Demonstrate commitment to addressing inequities and injustice at the workplace
  • Exceptional communication skills, both oral and written; with excellent public speaking and presentation skills
  • Deep attention to detail
  • Ability to effectively communicate and actively listen with internal and external stakeholders including partners, program participants, supervisors and other team members
  • Ability to learn new software effectively and efficiently
  • Ability to establish long-range objectives and specify the steps and actions to achieve them
  • Fluency with Microsoft Suite and familiarity with Google suite

Preferred Qualifications
  • Fluency in Spanish (Oral and Written)
  • Experience working in cultural sector, nonprofit or out of school learning environment
