Position Summary

Under the supervision of the Director of Lifelong Learning, the Administrative Assistant for Lifelong Learning is responsible for providing administrative and clerical support to the Director of Lifelong Learning. Maintains and processes all Lifelong Learning activities. Maintains class schedules, registrations, student files, and assists students with questions about programs and classes regarding Lifelong Learning classes.

Essential Job Functions

  • Serves as the Administrative Assistant for Lifelong Learning. Prepares correspondence, assists in managing the Director’s schedule, and screens phone calls with a high degree of confidentiality.
  • Assists with development of Lifelong Learning schedules and summer camp brochure and works with the marketing office to distribute the documents.
  • Processes all Lifelong Learning courses, including maintaining the course database, schedule, registration, student records, and processing any applicable fees.
  • Maintains and processes all payroll information for Lifelong Learning.
  • Obtains wage and occupational information for Lifelong Learning certificate programs as requested from the Bureau of Labor Statistics website.
  • Creates course outlines for online Lifelong Learning courses.
  • Manages and maintains course outlines for all Lifelong Learning courses.
  • Maintains non-credit on-line programs, including maintaining and updating course offerings and schedules, registration, and processing payments for courses.
  • Creates faculty and vendor contracts and maintains appropriate files and records.
  • Coordinates administration of the annual student survey of non-credit certificate courses and collects data for annual department report.
  • Manages and collects data on non-credit student evaluations.
  • Supervises and assigns duties to the Student Assistants in the department, as assigned.
  • Assists the Workforce Development administrative assistant, as needed.
  • Conducts daily cash count.
  • Executes responsibilities in accordance with applicable laws and organization’s policies, which includes the Code of Ethics.
  • performs other duties as assigned.

Requirements

  • Associate’s degree in business, office management, or related field.
  • Three or more years of experience as an administrative assistant, including customer service experience.
