Associate Director of Student Financial Services

Job Description

I. Minimum Qualifications: Bachelor’s Degree plus five (5) years of financial aid experience two of which must have been supervisory OR Master’s Degree plus three (3) years of financial aid experience one of which must have been supervisory. Candidates must have significant knowledge of federal and state regulations. Experience managing financial aid software systems. Excellent oral and written communication skills; strong technical and analytical skills required. Three or more years of progressively responsible experience working with Ellucian Banner preferred.


II. Nature and Scope of Duties:

The Associate Director of Student Financial Services(SFS), reports to the Director of Student Financial Services or their designee and performs the following duties:
  • Responsible for supervision of all Assistant Directors,Technical Assistants, Program Assistant, Temporary staff and Federal Work Study staff in all functions including scheduling, annual evaluations, time off requests, etc.
  • Counsels students and parents in all areas of financial aid to include: Application procedures, Verification procedures, Packaging/determination of program eligibility, professional judgement and appeals.
  • Performs the review of Satisfactory Academic Progress
  • Serves as the primary representative for SFS on the SAP Appeal Committee.
  • Assists Director of Student Financial Services with development of annual student expense budgets, packaging, philosophies, overall office procedures
  • Works collaboratively with the Director with implementation, coordination, and maintenance of all electronic processing systems including, but not limited to, development of reports and streamlined processes.
  • The Associate Director works closely both with the Director of Students Financial Services and Enterprise Operations to design and implement effective and efficient financial aid processes and reports. Responsible for submitting system related ticket requests.
  • The Associate Director assists the Director the monitoring, maintenance, updates, and integrity of data of reports within Argos, Appworx chains related to Financial Aid and Student Financial Accounts.
  • Assists with the overall administration of the SFS office including, but not limited to, overseeing all systems processing and reporting aspects of the Ellucian Banner Financial Aid Module, data integrity, troubleshooting errors and problems, data distribution, electronic file imports/exports, file output review, new year set up, staff training, federal/state data reports, ad hoc reports, and assessesments.
  • Assists with the adminstration, oversight and review of all Title IV and State Aid Programs.
  • Responsible for ensuring compliance in timely completion of Reconciliation for Title IV Funds in its entirety with the Department of Education.
  • Maintains expertise in all areas of financial aid to ensure compliance; identifies regulatory changes that will impact the department; participates in off-campus training, as needed; acts as a resource related to relevant rules and regulations; and conducts training to disseminate information to staff.
  • Assists Director by providing staff training and participating in the development, documentation, implementation and monitoring of policies and procedures necessary to ensure compliance with Federal, State, and Institutional Regulations and Policies and procedures.
  • Maintains procedures and reports necessary to complete annual federal, state and institutional reporting requirements and prepares report information for review by the Director of Student Financial Services. Including review and compilation of audit samples to ensure accuracy and completeness.
  • Provides financial aid services to students, parents and others; prepares and presents financial aid workshops; schedules and prepares templates for office communications (email and mailings); and assists with addressing and resolving student issues.
  • Assists with certification of all New York State grant and scholarship programs.
  • Assists Director of Student Financial Services with allocating funds accordingly and with statistical analysis of financial aid programs and applicants.
  • Performs special projects and related responsibilities as initiated and requested.
  • In order to provide exceptional customer service, all Student Financial Services staff will be cross-trained within the student services areas.
  • Performs other duties as assigned.

Salary Range: $65,000.00 - $75,000.00
