Full Job Description

The Assistant Director for Graduate Admissions and Education manages day-to-day operations for education-focused projects, existing graduate admissions products, and services offered to the field of psychology through the Center for Education in Psychology. Primarily, the Assistant Director participates in meetings, coordinates and carries out workflow, monitors revenue and expenses, and manages project-related documentation for two existing graduate admissions-related products: the Psychology Centralized Application System (PSYCAS) and the Graduate Study in Psychology Database. The Assistant Director also provides direct support to students, faculty, and external stakeholders in the field of psychology, product partners, and customers by coordinating webinars and meetings, responding to requests, updating website materials, and assisting with account issues for both products. Internally, the Assistant Director works collaboratively with other APA teams (marketing, communications, ITS) to support existing and new projects.

Education and Experience Required:

  • Bachelor’s degree required, but a Master’s degree preferred, with a strong preference for a degree(s) in psychology or related fields.
  • Minimum of five years of administrative or project management experience, including some provision of customer service.
  • Those with experience in higher education or graduate education settings (e.g., admissions, advising, recruitment, enrollment management, student affairs) are highly desirable.
  • Demonstrated experience working across teams, internally and externally, and coordinating work in matrix environment.

Computer Skills Required:

  • Advanced experience with Microsoft Office Suite and Microsoft Teams
  • Experience with using web-based conference and communication suites (e.g., Zoom)
  • Experience managing databases or large contact lists
  • Experience with surveys (e.g., creation, distribution, and/or analysis) on platforms like Qualtrics a plus, but not required

Responsibility:

  • In coordination with Senior Director, manage the Graduate Study in Psychology database; Develop project calendar, track project and task statuses, and update project schedules, including identification of timelines and milestones for data collection and analysis; product review and enhancement; and product roll-out; Coordinate with both internal APA teams (Center for Workforce Studies, IT and Webservices, Communications and Marketing) and external teams (ad vendors, participating programs) at all stages as appropriate, including arranging meetings, documenting notes and decisions, coordinating communication, managing the production of resources/collateral, and tracking both revenue and expenses; Produce and organize project documentation such as archived project plans, contact lists, previous years’ marketing and communication materials, and lessons learned for all projects and products; Update the Senior Director regularly, including providing guidance on addressing issues and trouble shooting
  • In coordination with Senior Director, manage the PSYCAS portfolio; Develop project calendar, track project and task statuses, and update project schedules, including identification of timelines and milestones for data collection and analysis; product review and enhancement; and product roll-out; Coordinate with both internal APA teams (IT and Webservices, Communications and Marketing) and external teams (ad vendors, service providers, Advisory Panel) at all stages as appropriate, including arranging meetings, documenting notes and decisions, coordinating communication, managing the production of resources/collateral and tracking both revenue and expenses; Produce and organize project documentation such as archived project plans, contact lists, previous years’ marketing and communication materials, and lessons learned for all projects and products; Update the Senior Director regularly, including providing guidance on addressing issues and trouble shooting
  • Monitor education trends that have implications for graduate admissions; Provide expertise and advice related to admissions processes and practices
  • Provide high-quality customer support and user experience of products and resources, including PSYCAS and the Graduate Study in Psychology database; Respond to inquiries and redirect as appropriate; Assist in collecting data regarding user experience and customer satisfaction for continuous improvement purposes.
  • Coordinate and support events (webinars, workshops) and content (websites, FAQs) related to graduate education as necessary
  • Other duties as assigned that support the Center’s, Education Directorate’s, and APA’s missions.
