Administrative Assistant to Athletics & Recreation, Faculty Student Association, Part-time

Job Description

The Faculty Student Association (FSA), an independent non-profit 501 (c) (3)organization, is the prime sponsor of co-curricular activities at Jamestown Community College. It is financed entirely by FSA fees paid by all students and faculty. The corporation is managed by a board of directors consisting of representatives of the college's administration, faculty, staff, and student body, and makes possible many enriching and enjoyable experiences which add to the total college experience. Funds are allocated annually to the Student Senate. FSA also funds other social, cultural, athletic, and recreational programs and services.

Position Description:

Part-time, 25 hours/week. The Administrative Assistant to Athletics and Recreation is responsible for providing scheduling of student assistants to cover facility needs, and administrative support for the inter-collegiate and intramural athletics and student recreation programs.

Essential Functions:

Scheduling Student Staff:

  • Assist with hiring of student assistants to provide adequate coverage of facility
  • Develop schedule for coverage of front desk and other areas of facility
  • Responsible for handling requested schedule changes
  • Assist Director of Athletics and Recreation in training students assistants

Electronic Scheduling Data-Entry:

  • Assist Buildings & Grounds staff with entry of all scheduled team practices, games and matches, classes, and other events in PHED Complex.

Building Access System:

  • Verify student and staff access through S2 building access system
  • Assign access to students and staff with valid JCC ID card

Athletic Team Expenditures:

  • Serve as liaison with FSA Controller/FSA Executive Director on requests for student athletic team expenditures. Request PO #s, funds for team travel and meals, and other essential expenditures.
  • Provide required documentation in timely manner to FSA Office for team allocations for meals and travel.
  • Assist FSA Controller with reconciliation of coaches’ pre-paid card expenditures

Other Duties:

  • Performs other duties as assigned

Qualifications:

Required: Associate’s degree. Minimum two (2) years business/secretarial/administrative experience. Proficient in Microsoft Office Suite; experience with scheduling software preferred. Strong interpersonal, administrative, and organizational skills, and ability to function with minimal supervision.

Preferred: Bachelor’s degree and supervisory experience.

Additional Information:

Salary: $15.60 - $20.97/hour, commensurate with qualifications and experience.

Final candidates are subject to a pre-employment criminal background investigation.
