Summary: The purpose of this position is to enter, review, and post general ledger transactions, including journal entries, receipts, and invoices. This position is responsible for maintaining the District fleet, including usage logs and maintenance. This position is responsible to answer the District Services phone line and greet visitors. This position also backs up multiple Business Office functions when others are absent.

Job Duties:
  • Enters, posts, and files journal entries. As part of the process reviews the entries for reasonableness and ensures that general ledger accounts are viable. Prepares monthly journal entries and invoices as needed for printing, postage, UPS charges and fleet vehicle usage. Maintains, enters, and posts monthly recurring journal entries.
  • Reviews, posts, and records all receipt groups for the District, including MCC, ECC, Grinnell, CE, ETC, and the BO.
  • Invoices Accounts Payable and Parent plus refund payments and reviews manual overrides of PO’s. Enters requisitions as needed. Reviews Purchase card transactions. Processes AR Refunds for all Student Accounts with a credit balance.
  • Reserves and maintains records for the District fleet, schedules service of vehicles, and requisitions fuel/service invoices. Maintains fleet schedule and keys. Maintains required documentation on district employees’ ability to drive fleet vehicles. Assists CFO with purchases and analysis regarding fleet vehicles. Responsible for working with selected vendor to acquire, license, and make delivery arrangements of new vehicles.
  • Maintains an inventory of District Office supplies. Orders and enters requisitions for supplies.
  • Bank Reconciliation of the Faculty, Admin, Savings, 260E Savings, and Student Disbursement accounts.
  • Distributes in-coming U.S. and inter-office mail. Posts, sorts and organizes all out-going U.S. mail, bulk mail and UPS parcels. Daily run to Post Office, Bank, and Education & Training Center.
  • May coordinate as well as implement office and administrative functional and clerical duties. May process requisitions, purchase orders, and other forms. Greets visitors, responds to requests, resolves complaints as appropriate and in accordance with stated policy and procedures. May order office supplies, perform inventory control duties, and request maintenance and repair on office equipment. Screens, directs, and responds to incoming calls and inquiries. Performs data entry of information related to area of focus.
Education and Experience: Associate degree required. Bachelor’s degree in Accounting or Finance preferred. Minimum of one-year of experience in an office environment.
  • Requires independent decision making, ability to exercise good judgment, and critical thinking skills.
  • May work in an environment of shifting priorities, frequent interruptions, hectic pace, and interaction with students, staff and/or the public.
  • Working knowledge of computer software programs which may include Word, Excel, institutional computer system software, or similar programs. Proficiency with office machines including printers, copiers, fax, etc.
  • Excellent written communication skills including proficiency in business English, grammar, punctuation, and spelling.
  • Ability to handle moderately to highly confidential matters and materials with discretion.
  • Ability to work independently as well as be a collaborative team player in completing assigned tasks and meeting deadlines.
  • Excellent customer service skills including phone and in-person reception etiquette.
Base Wage: $17-$22 per hour, actual salary will be based on experience and education.
