Summary of Position

This position provides critical support to the Paul College Dean’s Office working directly under the Associate Dean for Undergraduate Education and collaboratively with the Director of Undergraduate Programs. Major support responsibility areas include: academic scheduling, scholarship process support, catalog scheduling, as well as managing catalog changes. The individual in this position is expected to work collaboratively with other College and University administrative units to provide highly responsive and operational support for academic programs. Must be comfortable with ambiguity and change, have an aptitude for process improvement, feel comfortable experimenting with system and technology packages, have a good predisposition towards project and time management, and maintain confidentiality in communicating sensitive information and in handling confidential materials.

Duty/Responsibility

Paul College Academic Scheduling
  • Responsible for first draft of the Paul College complex course schedule and maintaining the schedule through each draft ensuring the continuous accuracy of the schedule.
  • Effectively communicate with department chairs, department administrators, and Paul program offices concerning academic course and exam scheduling.
  • Record and communicate approved, ongoing schedule changes in a timely manner and adhere to submission deadlines established by the College and University’s Registrar’s Office.
  • Work collaboratively with Registrar’s Office, Paul events team and other departments to coordinate academic course room requests and scheduling.
  • Organize and manage Dean’s-level academic program files and folders, keep records of syllabi and course proposals, and provide records and reports to committees upon request.
  • Update UNH course listings with approved course descriptions and details.
  • Gather information from faculty and departments to prepare common exam and final exam reports and requests.
  • Alert/remind faculty and staff of any pertinent communications from Registrar’s Office concerning academic policies or deadlines.
  • Support various responsibilities of academic programs in the areas of communication, file keeping and data gathering.

Duty/Responsibility

Paul College Scholarships
  • Coordinate scholarship application process through communicating with applicants and running reports from scholarship database for the Paul College Scholarships committee to review and award scholarships.
  • Maintain internal scholarship database of scholarship recipients and scholarship criteria.
  • Work closely with the office of financial aid, advancement, and finance teams to ensure the funds are correctly awarded and recorded, as well as verifying the financial need (and merit) of students who are applying.
  • Respond to student requests and manage emails for information related to scholarship applications support.
  • Liaison with the financial aid office to ensure students have received the scholarships awarded to them.
  • Adhere to legal requirements and regulations; such as FERPA.

Duty/Responsibility

Paul College Catalog
  • Assist with academic catalog process, including collecting and cataloging course approval paperwork and gathering catalog changes from departments/Undergraduate Programs Office.
  • Maintain records of changes to majors, options, minors, cognates and courses as voted by the faculty.
  • After Provost approval, edit curriculum and program changes in the catalog.
  • Make departmental edits on an annual basic.
  • Communicating with the Undergraduate Programs and Registrar’s offices to ensure the changes in the catalog are properly implemented.
