This position provides high level support to the Senior Director, Medical Education, Alumni Relations and Annual Giving and the Director of Annual Giving, Data Services and Leadership Annual Giving. Provide additional support to several teams of development professionals including the Michigan Medicine Annual Giving and Leadership Annual Giving teams. The Development Assistant will work as a contributing member in a fast paced, service-oriented environment within Michigan Medicine. This role will also work independently and proactively to relieve professional staff of administrative tasks and support project work.

Responsibilities*

General Administrative Support: 40%

  • Manage schedule for Senior Director and Director including the coordination of calendars and scheduling of complex meetings.
  • Prepare P-Card and hosting documentation for reconciliation.
  • Coordinate travel plans and hosting as needed.
  • Prepare gift agreements, correspondence and other materials needed by Senior Director and Director daily.
  • Provide assistance with meeting preparation and follow up for both internal and external constituencies.
  • Communicate with donors and prospects as well as volunteers, faculty, and administrators.
  •  Other administrative duties as assigned.

Annual Giving Teams Project/Administrative Support: 40%

  • Assist with scheduling and planning of large meetings, retreats, and other special team events.
  • Support Director of Annual Giving with budget tracking.
  • Assist Director in managing P-Card expenses.
  • Assist Annual Giving team with annual planning and implementation of projects including creation and updating of planning documents and updating Trello project management system.
  • Support Annual Giving team proofreading and routing of annual solicitations as needed.
  • Assist Data Services Team in creation of trackable links and Bitly custom links for giving efforts.
  • Assist with projects as needed.

Leadership Annual Giving Team Administrative Support: 20%

  • Coordinate travel, hosting, and event related activities including planning trips and itineraries, coordinating travel arrangements, locations, refreshments, and staffing.
  • Prepare P-Card and hosting documentation for reconciliation.
  • Other administrative duties as assigned.

Required Qualifications*

  • More than four years of progressively responsible administrative support experience (Senior level).
  • More than two years of experience (Intermediate level).
  • Advanced experience with Microsoft Office Suite (Word, PowerPoint, Excel, Visio, etc.).
  • Experience with generating reports from a variety of databases.
  • Excellent verbal, written and organizational skills with demonstrated attention to detail.
  • Proven ability to use discretion and maintain a high level of confidentiality.
  • Ability to work flexible hours with occasional weekend and evening work as necessary
  • Candidate must have access to reliable internet.

Desired Qualifications*

  • Bachelor's Degree or equivalent combination of education and experience.
  • Previous experience with fundraising projects with non-profits.
  • Familiarity with University of Michigan and the Michigan Medicine organizational structures.
  • Experience with Zoom or other virtual meeting platforms. 

Work Locations

This position may be eligible for flexible work opportunities at the discretion of the hiring department. Flexible work agreements are reviewed annually and are subject to change dependent on the business needs of the hiring department, throughout the course of employment. This position works both onsite and remotely based on the business needs of the unit.

The onsite location for this position is the 777 Building which provides free, onsite parking for staff.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act. Pre-employment drug testing applies to all selected candidates, including new or additional faculty and staff appointments, as well as transfers from other U-M campuses.
