Posting Summary
Rutgers, The State University of New Jersey, is seeking an Administrative Assistant for the School of Arts and Sciences. This position provides daily coordination and follow-through of the policies and procedures concerning employment of faculty, staff, and students in the School of Arts and Sciences.
Among the key duties of this position are:
  • Coordinates and performs various personnel functions relating to faculty, staff, and student matters.
  • Initiates, researches and responds to individual inquiries and large-scale communications.
  • Responsible for processing payroll actions for faculty, staff, and student populations, inclusive of the onboarding of all new employees.
  • Facilitates the processing of I-9’s and I-9 Reverification process, and payroll documents for all employees in SAS.
  • Oversees digital file system to include documents pertaining to both faculty and staff.
  • Provides administrative support to the SAS Office of Human Resources by coordinating the administration of programs, projects, and/or processes and by organizing and coordinating the unit operations.
  • Schedules appointments, arranges and coordinates design and logistics for workshops and meetings, and completes other work consistent with a broad understanding of the mission, vision, role, and goals of the SAS Office of Human Resources.
  • May serve as liaison within and outside unit.
  • Works under general supervision, within established work parameters, with few direct instructions.
  • Carries out routine and non-routine tasks with occasional review of work outputs by the Human Resources Specialist.
  • Performs professional work that requires knowledge of general administrative/office management principles and practices and a good understanding, use, and application of concepts, theories, principles, practices, terminology, and applied bases of unit administration.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.  Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility .  Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC).  Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine .  Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Qualifications


Minimum Education and Experience
  • Bachelor’s degree in human resources management or a related field, or an equivalent combination of education and/or experience.
Certifications/Licenses

  • Excellent computer, communication, analytical, organizational, and interpersonal skills.
  • Commitment to excellent customer service.

Physical Demands and Work Environment
  • Travel to all RU New Brunswick campuses, lifting/carrying boxes, climbing stairs and may include occasional evening and weekend work.
