Posting Summary
Rutgers, The State University of New Jersey is seeking a Grants Coordinator in the Office of Research Administration at Rutgers Cancer Institute of New Jersey.
The purpose of the Grants Coordinator is to assist faculty in acquiring external sponsors to financially support their research programs. The primary responsibilities of the Grants Coordinator are completing the administrative grant application documents, compiling grant applications and ensuring timely submission of grants and contracts to
respective agencies in accordance with their application rules and regulations.
Among the key duties of this position are the following:
  • Prepares, compiles and submits applications, including, but not limited to budgets and justifications and grant form pages for agency deadlines.
  • Submits grants and contracts in a timely fashion to respective agencies in accordance with their application rules and regulations.
  • Enters and performs quality control checks of grant-related data into database. Enters grant application related data into shared databases.
  • Interprets/translates sometimes complex and/or contradictory grant application regulations and applies that knowledge to grant application.
  • Creates database reports via tools such as Crystal Reporting.
  • Performs back-up quality control checking of multiple databases.
  • Maintains integrity of historical databases, website and spreadsheet modification updates.
  • Mentors junior faculty members in the art of grant application preparation.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.  Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility .  Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC).  Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine .  Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Minimum Education and Experience
  • Bachelor’s Degree in Business Administration or related field.
  • Equivalent education, experience and/or training
    may be substituted for the degree requirement.

  • Must demonstrate the ability to work under pressure to prioritize and to make logical decisions based on available information.
  • Effective oral and written communications skills.
  • Must demonstrate the ability to interact with all
    staff in a positive and motivated style.
  • Must demonstrate the ability to solicit cooperation from staff in
    achieving timelines and a uniform standard of values and quality.
  • Must demonstrate the ability to maintain confidentiality, remain open to others’ ideas and exhibit willingness to try new things.
  • Must demonstrate the ability to interpret sometimes complex and/or contradictory grant application regulations and deal effectively with ambiguity.
  • Time management and efficiency skills.
  • High level of stress and periodic long hours are required
    due to deadline driven workload.
  • Must be computer literate with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint.
Preferred Qualifications
  • At least three (3) years administrative experience in pre-award research administration.
  • Accounting/finance experience.
  • An understanding of principles and procedures involved in processing grant applications.
  • A working knowledge of agency rules and regulations.

PHYSICAL DEMANDS: Standing, sitting, walking, talking and hearing. No special vision requirements. Lifting up to 25 lbs.
