Your main objective in this role is to provide staff support for the full range of business activities, including research accounting and budgets. We foresee you will have a broad general knowledge of business procedures. As well as be able to demonstrate good organizational skills, communication skills and meticulous attention to detail. Required Education and Experience:

  • High school graduation or any equivalent combination of education and experience

  • Four years of related experience in general office, bookkeeping, or personnel operations

 

Required Knowledge, Skills, and Abilities:

  • Working knowledge of spreadsheet and word processing software programs

  • Interpersonal and communication skills

  • Good planning and organizational skills

  • Ability to multi task and work cooperatively with others

Preferred Education and Experience:

  • Associates degree

  • Three years' experience with the preferred education, including task management experience

  • Experience in TAMU fiscal records, FAMIS, CANOPY, Concur, Maestro, AggieBuy, AggieWorks, 10-key calculator and personal computer

  • Prefer Word, Excel, Quick Books, and database software experience

 

Preferred Knowledge, Skills, and Abilities:

  • Good communication and writing skills

  • Highly developed interpersonal skills

  • Good organizational ability and attention to detail

  • Good proofreading skills

 

Responsibilities:

  • Financial Support - Provides assistance to faculty and support staff with review and reconciliation of research monthly financial statements. Collects financial data and prepares documents for year-end research activity reports. Reviews and trains departmental employees in the function of MAESTRO. Prepares monthly grants/contracts reports to review status of research grants/contracts.  Coordinates X-Grants, T-Grants, Welch Grants, GURI funds with Sponsored Research Services and Vice President of Research Office.  Processes invoices, prepares purchase orders, posts to ledgers, and assists in receiving online with AggieBuy for research incurred expenditures. Coordinates/maintains packing slip receipts of incoming chemicals and supplies. Serves as liaison with Sponsored Research Services personnel on matters of concern, questions, problems which may arise related to research accounts, purchase orders and other areas of mutual interest.  Trains departmental employees and other department employees in the function of AggieBuy for using research grants and contracts.  Approves requisitions, checks for accounting accuracy on research grants and contracts.  Responsible for adjustments and monthly reconciliations on research grants and contracts in FAMIS/CANOPY.  Reviews and reconciles purchase order encumbrances. Assists Business Administrator II with University Records management in the coordination and maintenance of business files and records. Creates, maintains, and organizes business files and records. Serves as purchasing back-up for the Business Coordinator I. Assists Assistant Department Head and Business Administrator II with specialized business tasks and activities as assigned.

  • Travel Support - Processes TAMU/TEES/SRS travel vouchers; investigates errors and recommends appropriate corrective action. Communicates travel policies to department faculty, staff, and graduate students. Trains and serves as a backup resource to support staff and faculty in completing travel services for CONCUR, the University’s e-travel system. Serves as liaison with the Financial Management Operations department.

  • Administrative Support - Provides exceptional front-line customer service in person and on the phone to all visitors and callers to the office. Instructs users of protocol in following University and Department procedures.  Serves as backup for departmental copy room operations; use and maintenance of Xerox 490, Xerox 5820, and fax machine. Provides assistance for users as needed. Performs other duties as assigned.
