Job Description

The Counseling Services is recruiting for an Administrative Assistant 3 at the University of Nevada, Reno. ***This position does not provide layoff rights and is contingent upon funding.*** The Administrative Assistant 3 will support the training program, oversee front desk operations and provide administrative support to the department. The ideal candidate will be responsible for organizing and coordinating training program functions, overseeing department financial transactions, managing the front desk and supervising front desk administrative staff.

Additional responsibilities include, but are not limited to:

  • Organizing and scheduling didactic trainings and orientation

  • Search coordinator for all training level positions

  • Maintain communication with training level applicants and follow through with their hiring process

  • Maintaining trainee files

  • Tracking leave

  • Managing training feedback surveys to be sent weekly

  • Providing backup support for the front desk

  • Supervising front desk staff and front desk operations

  • Reconciliation of the department purchasing card and all department financial matters

  • Travel spend authorizations and expense reports

  • Complete Independent contractor agreement forms and process

  • Provide support for the assessment program

Required Qualifications

This position requires graduation from high school or equivalent education and three (3) years of progressively responsible relevant work experience which included experience in one or more of the following areas: maintenance of complex records and files; public/customer relations including explaining detailed policies, regulations and requirements; preparation and processing of financial and statistical documents such as payroll, travel, claims and budgeting forms; and assisting staff and management with projects and activities; OR one (1) year of experience as an Administrative Assistant II in Nevada State service; OR an equivalent combination of education and experience as described above.

Preferred Qualifications

Experience with MS Office Suite, particularly Excel, supervising, minute taking, coordinating and organizing meetings, and experience with procurement and financial transactions.

Excellent communication and customer service skills and the ability to maintain a calm and professional demeanor during tense or emotional situations.


The typical work schedule for this position will be Monday – Friday 8:00 am – 5:00 pm but may change based on organizational needs. This position requires the incumbent to work fully onsite.

Compensation Grade

Grade 27 (Entry, Step 01 $17.62/hr – Step 05 $20.76/hr)

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate’s qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.

Department Information

The University of Nevada Counseling Services is a growing university counseling center that provides individual and group psychotherapy; crisis intervention; psychological assessment; outreach, general, sport, and eating disorder consultations; and referrals to community health care providers. These services are undertaken in accordance with the following mission – to provide mental health services to University of Nevada Reno students in order to support and facilitate their personal and academic success and development. 

The professional staff currently consists primarily of licensed psychologists and licensed clinical social workers as well as other mental health disciplines. Counseling Services provides education and training in multicultural competency to practicum students, doctoral interns, postdoctoral fellows, and our professional staff. We have an APA-accredited psychology doctoral internship.
