About the Department
The Department of Biological Sciences is dedicated to basic research and teaching in a broad range of aspects of the biological sciences. The Department has strong undergraduate, graduate and postdoctoral programs and substantial extramural support to develop and maintain integrative research programs. In addition, the Department enhances its mission to interdisciplinary research and training programs with other units in the life sciences across colleges.
Essential Job Duties
This position will provide programmatic support for the Toxicology Graduate
Program, the Toxicology Minor, The Toxicology NIEHS T32 Training Grant and the Biology for Educators Graduate Certificate. In addition, this position will serve as the Toxicology building Liaison and provide general administrative duties to support the faculty, staff, students, and guests in the Toxicology Building.
This position will provide general support to the Toxicology Graduate Program and the Biology for Educators Graduate Certificate in the following areas: Admissions/Appointments: Process admission applications and communicate and advise applicants of necessary materials for application. Advise first year, out-of-state students on establishing residency. Process graduate appointments in HR System.
Assist with managing the Toxicology training grant, including entering appointments in XTrain, submitting fellowship paperwork to Graduate School, monitoring budget and matching funds, and assisting Director with submitting progress reports and competitive renewals. Maintain database of all trainees.
Advising: Prompt students to meet critical deadlines, course selection and enrollment, procedural matters, and scheduling. Assist students in communicating with the graduate school. Advise students of GSSP qualifications and time limits, and ensure students who are no longer eligible for GSSP are aware. Apply for exceptions as needed. Serve as temporary advisor to new graduate students.
Communication: Maintain social media presence for Toxicology Program and the Biology for Educators Graduate Certificate and communicate events to the University community. Update websites. Liaise between programs, Department, and Graduate School. Update Toxicology Graduate Program Handbook and other programmatic materials as needed.
Event Planning/Travel: Coordinate Toxicology seminar series, including booking travel and hotel for speakers. Work with departmental staff to ensure speakers are reimbursed in a timely manner. Ensure all documentation regarding honoraria and income tax declarations and travel expenses is completed. Provide accounting staff documentation for payment. Assist students who are traveling to conferences with booking travel plans.

Qualifications


Minimum Experience/Education
Bachelor’s degree; or an equivalent combination of training and experience.
 
All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
  • Proficient in the use of Google applications, Microsoft Office, including Access, Word Press and PeopleSoft
  • Student Information System, SLATE, or similar system.
  • Familiarity with FERPA.
  • Ability and desire to collaborate to improve process and outcomes for students. Flexibility, creative problem-solving, and enjoying working with a team are important qualities of a successful candidate.
Preferred Qualifications
  • Bachelor’s degree preferred.
  • Experience working in Graduate Student Services.
  • Experience with Training Grants.
