Summary

The Associate Administrative Director will provide leadership and manage numerous projects from original concept through completion within the Office of Graduate and Postdoctoral Studies (OGPS) at Michigan Medicine. Responsibilities include the planning, implementation, and tracking of activities regarding educational projects, both new and ongoing. This position reports to the Administrative Director.

OGPS provides comprehensive student support services to 600+ masters, doctoral, and post-baccalaureate students as well as the 500+ postdoctoral fellows within the medical school. With the growing support and services we provide and the changing landscape of higher education, we are consistently creating new initiatives and programs while reevaluating existing ones. Therefore, the Associate Administrative Director is critical in supporting the continued administrative planning, management, and growth of our office and services.

Responsibilities*

60% Project Management

  • Responsible for the overall management, performance, and completion of educational projects which include (not exhaustive list):
    • PIBS Curriculum Modernization project
    • Faculty Mentoring toolkit project
    • Student Transition tracking system project
    • Postdoc Administrators toolkit project
    • Postdoc Training Assessment project
    • Ad hoc projects (e.g. COVID planning, etc.)
  • Serve as the single point of contact regarding the projects
  • Lead project teams of 5 - 15 individuals which includes OGPS team members, program directors and coordinators across the 14 graduate programs, and external consultants depending on the project

20% Operations Consultant

  • Responsible for a portfolio of administrative and operational projects at different stages of evaluation and implementation
  • Evaluate internal or external processes, determine their strategic fit with the office priorities, and develop sufficient detail and understanding of the project to allow a clear yes/no decision to be made to implement the project
  • Will assemble and lead the team who are involved with the daily implementation of the particular projects

20% Leadership

  • Provide counsel and advice to the Associate Dean and Administrative Director on university initiatives and other university efforts as deemed necessary by the Associate Dean and Administrative Director
  • Draft correspondence on behalf of Associate Dean and Administrative Director
  • Represent the Associate Dean and Administrative Director at meetings
  • Act as the Administrative Director in periods of absence

Required Qualifications*
  • Masters degree
  • 5+ years of work experience in higher education
  • 4 years of work experience in higher education 
  • 2 years of experience in student affairs, student services, or student administration related functions
  • Ability to create processes and procedures
  • Ability to exercise initiative
  • Ability to investigate how things operate
  • Ability to problem solve
  • Ability to facilitate trainings and workshops

Work Schedule
  • This is a full-time position: Monday – Friday, 8:00 – 5:00 PM
  • This position may work onsite, remotely, or hybrid.

Background Screening

Michigan Medicine conducts background screening and pre-employment drug testing on job candidates upon acceptance of a contingent job offer and may use a third party administrator to conduct background screenings.  Background screenings are performed in compliance with the Fair Credit Report Act.
