Department Summary

Job Summary

The Application Specialist  is the administrator of several key housing information systems, as well as manager for data connected with other units and the institution at large. Over the course of the limited term position, Michigan Housing and Student Life Technology Solutions (SLTS) will transition to a new housing management system, and this role will ensure the integrity and operationality of current system (Odyssey HMS), along with several other software systems integral to daily operations (including softphones, Zendesk ticketing system, student ID card operation). The Application Specialist also creates automated reporting mechanisms that can be used by leadership for decision making and real-time operational awareness, and retrieves and prepares data by request for Housing and divisional leadership.  This position will have a dotted reporting line to Student Life Technology Solutions.

This is a two year limited term appointment with the potential to re-evaluate for an extension.


60% Administrator of Odyssey HMS

  • Continue upkeep and monitoring of Odyssey HMS (Housing Management System) while migration to the new system is underway.
  • Supervise and update use of housing applications, contracts, room change functionality, and other client-facing interfaces with Odyssey HMS, including the M Housing Business Portal (also known as StudentWeb).
  • Design and implement custom processes and procedures.
  • Serve as a housing liaison with university departments regarding Odyssey HMS (including Student Life Technology Solutions, Campus Information Technology, MCard Office and Registrar) to ensure a high quality, responsive, and effective level of service to students and staff.
  • Manage access and permissions to Odyssey HMS.
  • Provide direction, guidance and in-house support for end-user concerns.
  • Ensure system features continue to meet needs of stakeholders; continuously verify the availability, integrity and reliability of the system.

30% Data Management, Analysis and Reporting

  • Manage automated data flows from and into Odyssey HMS, in conjunction with Student Life Technology Solutions (SLTS).
  • Manage non-automated data flows into different tools (e.g., Google reporting, DropBox rosters for COVID contract tracing).
  • Identify, facilitate the collection of and validate data that will allow for higher levels of service (e.g., housing room specific-data such as room dimensions, amenities, maps, and room images).
  • In conjunction with housing leadership and SLTS, identify data structures allowing for migration of current and historical data into Data Warehouse.
  • Continually review housing business processes to identify potential improvements and bridge the gaps between business operations, information technology and student facing housing operations.
  • Facilitate and document housing assignment processes (process mapping). 
  • Produce data and analysis for specific projects.

10% Administrative Duties

  • Prepare and send communication to students (Salesforce Marketing Cloud, Mailchimp).
  • Other duties as assigned.

Required Qualifications*

  • Bachelor’s degree in Information Systems or computer related field or equivalent experience.
  • 1 year professional experience performing business/workflow analysis, developing detailed business & functional requirements, creating scope documents, or standardizing operating procedures.
  • Demonstrated knowledge of relational database structures (one of Oracle, MSSQL, MySQL, or equivalent enterprise level databases).
  • Demonstrated knowledge of various data types.
  • Demonstrated knowledge of IT security foundational concepts.
  • Experience developing and documenting business processes.

Desired Qualifications*

  • 3 years professional experience performing business/workflow analysis, developing detailed business & functional requirements, creating scope documents, or standardizing operating procedures.
  • Understanding of project management functions including creating and maintaining deliverables such as project scope and plan, status reports, cost estimates, communication plan, presentation, milestone/project schedules.
  • Experience analyzing and understanding unfamiliar business processes or performing root cause analysis to identify problems and opportunities.
  • Demonstrated ability to meet deadlines, handle and prioritize simultaneous requests, and manage laterally and upwards.
  • Knowledge of University of Michigan information systems (e.g., Wolverine Access, Advocate, Salesforce)
  • Train staff on usage of Odyssey functionality as necessary.
  • Act as contact and relationship-owner with CBORD; participate in the peer community of other institutional users Odyssey HMS.

Working conditions

Some weekend and evening work may be required.

Physical requirements

Incumbent may be required to be stationary for long periods of time.  Extensive computer and phone use required.

This role may have reporting obligations under Title IX and Clery.

Salary may vary depending on qualifications, experience, and education of the selected candidate.

Relocation will not be offered for this position.
