Responsibilities*

  • Undergraduate Program Support - Assist with logistics (catering, venue reservations, signage, etc.) related to departmental commencement ceremony (200+ participants), industrial recruitment (40-60 participants), Research Experience for Undergraduates (REU) & Summer Undergraduate Research Program (SURP) (40-50 participants) and undergraduate awards ceremony (approx. 60 participants). Primary responsibility for time schedule, including working with Associate Chair on course scheduling, instructor/GSI entry, and course room requests. Collect and enter course descriptions for the course guide. Collect and upload syllabi for courses each term.
  • Graduate Program Support - Assist with logistics (transportation, catering, venue reservations, etc.) related to two graduate program recruitment weekends (approx. 200 participants), M-CORE preview weekend (20 participants), and new student orientation (45-60 participants). Order supplies and promotional materials for graduate program. Order business cards for graduate students who have achieved candidacy. Assist with GSI paperwork (preparing fraction calculation forms & contracts). Support for Recruiting Committee (mailings, travel arrangements, conference registrations). Compose and distribute award letters.
  • Room & Equipment Reservations - Coordinate room reservations for departmental rooms using online room reservation system. Submit requests to & follow up with the Registrar’s Office for non-departmental rooms. Coordinate student services equipment loans (projectors, laser pointers, etc.). Coordinate course classroom equipment needs with ISS and Registrar’s Office.
  • General Departmental Support - Assist walk-in traffic & triage as necessary. Place orders with Copy Center for exams & other printed course materials. Coordinate departmental lost & found. Maintain departmental tutor list. Order textbook desk copies for instructors. Monitor grade entry at the end of each term. Create course-specific email groups. Order mid-term & final course evaluations.
  • Professional Development & Training - Participate in pertinent development, training, and workshop opportunities to increase knowledge base, enhance skills and keep current on changes relative to role.

Required Qualifications*

High school diploma or equivalent and 2 to 4 years of progressively responsible administrative experience preferably at the University of Michigan. Meticulous attention to detail and superior organizational skills are a must.  The ability and desire to work independently as well as part of a team along with the proven ability to self-start and show initiative required.  Demonstrated ability to initiate projects and carry them through to completion as well as the flexibility to change focus and priorities quickly; experience handling confidential and sensitive information with a demonstrated ability to use sound judgment and diplomacy; ability to listen and deal warmly and empathetically with a wide range of people including students, faculty and staff; must be able to work in a a fast-paced office environment with demonstrated ability to juggle and prioritize multiple, competing tasks and demands, under pressure and with interruptions.  Demonstrate a strong commitment to providing outstanding customer service with a desire to assist others.

Desired Qualifications*

College degree with 1 to 3 years previous experience working in a Student Services or academic environment; a strong  understanding of LSA and University policies and procedures.
