Posting Summary
Rutgers, The State University of New Jersey is seeking a Program Coordinator in Faculty Recruitment and Affairs at Rutgers Cancer Institute of New Jersey.
The primary purpose of the Program Coordinator, Office of Faculty Recruitment and Affairs, is to manage all faculty candidate interview scheduling and provide administrative support for the Office of Faculty Recruitment and Affairs of the Rutgers Cancer Institute of New Jersey. This position will work in alignment with the Faculty and Senior Staff Recruiter and under the direction of the Program Director.
Among the key duties of this position are the following:
  • Responsible for creating and maintaining an efficient process and red carpet experience for scheduling all faculty and senior staff candidates for the Rutgers Cancer Institute of New Jersey, in alignment with the Faculty and Senior Staff Recruiter and under the direction of the Program Director.
  • Responsible for coordinating itineraries and making all interview arrangements: virtual meetings, in person meetings, travel, hotel reservations, catering services, restaurant reservations, conference room reservations, media resources, etc, in alignment with the Faculty and Senior Staff Recruiter and under the direction of the Program Director.
  • Works independently with faculty leadership/hiring managers to support national searches, in alignment with the Faculty and Senior Staff Recruiter and under the direction of the Program Director, and compliant with RBHS policies, ensuring timely and efficient candidate scheduling.
  • Responsible for maintenance of all faculty positions in ROCS, including initiating new postings, dispositioning candidates, and being front line of communication with applicants. Responsible for having general knowledge of all positions and associated duties, in order to have informative discussions.
  • Creates and manages online candidate evaluation process and prepares reports for the Program Director and Search Committees.
  • Independently works with community resources, such as realtors, local leaders/activity directors, local hotels and restaurants, to provide a ‘red carpet experience’ for faculty and senior staff recruitment. Responsible for relationship building internally and externally in order to maintain efficiency and high quality experiences.
  • Responsible for creation of advertisements and marketing materials for recruitment.
  • Create and maintain up to date list serves/job bank of ACGME fellowship programs, NCI Cancer Centers, Chairs, applicants, and diversity focused groups.
  • Collaborates with the Office of Diversity Equity and Inclusion to ensure interviewing practices remain inclusive and strategize to source the most diverse population.
  • Attends national career fair opportunities to network and market Rutgers Cancer Institute with the Faculty/Senior Staff Recruiter, as needed.

COVID-19 Immunization Requirement
Under Policy 60.1.35 , Rutgers University requires all prospective employees to provide proof that they are fully vaccinated and have received a booster (where eligible) against COVID-19 prior to commencement of employment, unless the University has granted the individual a medical or religious exemption.  Prospective employees who are not eligible for a booster at the time of an offer of employment must provide proof they have received a booster within two weeks (14 calendar days) of eligibility .  Based on current guidance, individuals are considered fully vaccinated against COVID-19 two weeks after receiving the final dose of any COVID-19 vaccine authorized or approved for use in the United States by the United States Food and Drug Administration (FDA) and recommended by the Advisory Committee on Immunization Practices (ACIP) of the Centers for Disease Control and Prevention (CDC).  Eligibility for a booster against COVID-19 varies and is explained on the University’s web site located at https://coronavirus.rutgers.edu/covid-19-vaccine .  Failure to provide proof of primary vaccination and booster will result in rescission of a prospective employee’s offer of employment and/or disciplinary action up to and including termination.

Minimum Education and Experience
  • Bachelor’s Degree in Human Resources, Communications, or a related field; plus a minimum of three (3) years of progressively more responsible administrative experience managing multiple priorities. 
  • Equivalent education, experience and/or training may be
    substituted for the degree requirement.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Must be computer literate with experience with database and reporting tools such as Microsoft Word, Excel, Access and PowerPoint. 
  • Demonstrated effective oral and written communication skills. Outstanding human relations and leadership skills and the ability to function in a team environment. 
  • Superior organizational skills with the ability to manage numerous projects simultaneously. 
  • Demonstrated knowledge of how to accomplish superior performance in a unionized environment. 
Preferred Qualifications
  • Bachelor’s Degree in Human Resources, Communications, or a related field; plus a minimum of three (3) years of progressively more responsible administrative experience managing multiple priorities in a healthcare environment.
