Job Summary

 Financial Associate will support The Center of Mathematical Sciences and Applications (CMSA) in all aspects of financial operations. This position will work closely with the Assistant Director of Research and Finance and will provide the wide spectrum of required support.


Position Description

  • Handles all event budget preparation and budget tracking of all CMSA events (workshops, seminars, colloquium, special lectures, special year programs, public lectures, lecture series, conferences, parties).
  • Responsible for Buy2Pay payments and payment requisitions for vendors, faculty, post-doctoral fellows, visitors, grad and undergraduate students;
  • Responsible for Concur travel reimbursements for faculty, students, postdoctoral fellows, staff and visitors from non-federal/federal sources.
  • Responsible for vendor set up: prior to making any payments, collecting information required on Foreign Nationals, U. S. Citizens to prepare computer profiles for them in the financial system at Harvard. This requires a lot of emailing various visitors, faculty, and students requesting pertinent information.
  • Handles Department Corporate card – payments and reconciliation
  • Reviews CMSA Staff PCard on weekly basis;
  • Handles monthly reconciliation of all CMSA accounts;
  • Processes all CMSA appointments (paid and unpaid) in Aurora; gathers necessary information; communicates with potential appointees, etc.
  • Reviews monthly payroll;
  • Provides all required support to the Assistant Director of Research and Finance with ad-hoc tasks, in performing internal financial audits and analysis on income received to assess compliance; with the development of creative financial reporting and analysis
  • Other duties as required

Basic Qualifications

Associates degree in accounting or equivalent experience. A minimum of three years of relevant financial work experience.


Additional Qualifications and Skills

  • Bachelor’s degree in the area of finance or business is preferred.
  • Ability to coordinate audit activities and manage reporting, budget development, and analysis, accounts payable and receivable, general ledger, payroll, and accounting for programmatic income
  • Ability to navigate the complexity of systems within a university. 
  • Technology savvy with the ability to manage data for financial reporting quickly and effectively.
  • Able to handle confidential information with appropriate discretion required.
  • Able to prioritize duties and meet multiple deadlines.
  • Able to exercise a high degree of judgment to make sound independent decisions.
  • Must be detail-oriented and able to work independently with minimal supervision.

Working Conditions

The position is expected to be based on campus, in Cambridge, MA.
