Position Description

Administer and manage Office of Research and Innovation support programs, including the NIH Kirschstein-National Research Service Awards (NRSA) program and Postdoctoral Affairs program.  Provide high quality assistance with administrative and grant support functions, including HR and business/financial administration, meeting and travel coordination, database administration, and clerical assistance.  Coordinate external communications with the National Institutes of Health and internal communications with pre and postdoctoral trainees and faculty investigators/mentors.

Essential Duties and Responsibilities

Provide administrative support and management of NRSA grants, including Research Training Grants (T32/T35) and Individual Fellowship Awards (F31/F32) in collaboration with Principal Investigators (PIs), departmental administrators, and the Office of Sponsored Programs Administration (OSPA).  NRSA program support duties include:

* Understanding NIH and NRSA requirements, policies and procedures,
* Assisting OSPA Grants Management Services and PIs/departments at award establishment
* Assisting PIs and Business Operations with onboarding of new trainees and submission and maintenance of required documentation via xTrain
* Providing ongoing operational support (travel arrangements, cost share commitments, tuition) to PIs/departments throughout the life of a NRSA grant
* Monitoring expenditures for compliance during reconciliation (salary cap, period of performance, cost allowability, cost sharing, etc.) and initiate corrections as necessary
* Assisting PIs/departments and OSPA Research Accounting Services with the submission of financial reports
* Assisting PIs with Research Performance Progress Reports (RPPR)

Oversee the main phone line of the Postdoctoral Office, providing basic information and call triage.

Facilitate communication and maintain up to date database of postdocs, department/discipline, and their mentors, including VISA status.  Run reports as needed. Maintain confidential and accurate electronic and paper files and perform related clerical duties as needed.

Coordinate meetings with the postdoctoral advisory task force and with the U of L chapter of NPDA.
Assist with communications and scheduling of postdoctoral development sessions.   Coordinate other conference calls, exchange of information and meetings as needed.

Perform other duties as assigned.
