Job Summary

The BEDC Project Assistant holds office duties at Cogdell Learning Center located at 201 W. Florida and is grant funded by the City of Midland. The City of Midland had funded the BEDC for over 25 years.

Required Qualifications

High school degree or equivalent 
Two years of clerical experience 
One year of customer service experience 
Computer literacy to include proficiency with Microsoft Office Suite, including Word, Excel and PowerPoint 
Capable of operating general office equipment 
Excellent written and verbal communication skills 
Provide accurate attention to detail in all aspects of work 
Excellent organization and time-management skills 
Must have reliable transportation for in-town travel, for which mileage will be reimbursed 
Ability to handle fast-paced work environment with interruptions and detail-oriented tasks 
Must possess a valid Texas Driver License, good driving record, and be insurable on Midland College’s insurance policy

Preferred Qualifications

Associate’s or Bachelor’s degree 
Experience with departmental budget and bookkeeping 
Experience working with Microsoft Publisher or comparable software 
Bilingual in English and Spanish

Essential Functions

Assist Director and BEDC Counselors as needed with administrative tasks to include, but not limited to, providing initial intake and collection of data from new clients; accurate data entry into electronic database; bookkeeping; researching, pricing, and ordering office furniture, equipment, and supplies; initiating purchase requisitions; making travel arrangements; maintaining inventory and ledger of budget accounts; processing payroll for department; copying; faxing; mailing; filing; answering phones and directing calls; and greeting and directing walk-ins 
Maintain confidentiality in all aspects of client, staff and agency information 
Assist with the promotion of the Midland College BEDC program to include: monitor and assist with the maintenance of departmental website; participation on Facebook and Twitter; and development of marketing and promotional materials 
Assist with Cogdell inventory, work order requests, unlocking and locking of office, classroom and building doors, room booking calendars, paper, copier and shredding vendor requests 
Develop and maintain electronic spreadsheets and databases for record keeping and tracking statistics to include departmental budgets, program outcomes, client contact hours, number of attendees, revenue, and expenses for each fiscal year 
Produce monthly, quarterly, annual reports and budget projections for the Director 
Coordinate events including promotion, catering, and facilities set-up 
Preparation and maintenance of documents of a highly confidential nature 
Maintain electronic office calendar to coordinate work flow and meetings 
Work effectively both autonomously and as a team member 
Interact effectively with clients of diverse socio-economic, ethnic and cultural backgrounds 
Provide one-on-one credit guidance to BEDC credit clients 
Provide presentations that would be beneficial to BEDC and Cogdell audiences 
Other duties as assigned

Fast-paced work environment 
Must be available for evenings and Saturdays on occasion, when needed

Security Sensitivity

All Midland College positions are security-sensitive and subject to Texas Education Code §51.215, which authorizes the employer to obtain criminal history record information. An employment offer is contingent on completion of a satisfactory criminal background investigation.
