Centralia College is located on a 30-acre campus in the heart of Centralia, Washington and has been serving students in the Lewis County region since 1925. As a comprehensive community college, Centralia College offers academic transfer and workforce programs, as well as adult basic education, ELL, and personal enrichment classes. The college also offers five Bachelor of Applied Science degrees: Information Technology - Application Development, Diesel Technology, Applied Management (Business), Behavioral Healthcare and Teacher Education.

In addition to the main campus in Centralia, Centralia College East in Morton is a smaller site that serves the needs of students in east Lewis County. Job Description
Position Purpose:

Under general direction of the Director of Enrollment Services, this position’s main duties include: providing credit evaluations for students, generating Academic Advisement Reports, processing applications for graduation, and verifying and posting degrees. As a member of the Enrollment Services team, this position provides excellent customer service, works collaboratively with other departments across campus, and provides enrollment services support for students by providing assistance with admissions, registration, transcript requests, and schedule changes.

Nature & Scope:

This position provides direct support to the Director of Enrollment Services/Registrar and represents the administrator’s unit goals while providing core functions with regards to Enrollment Services, including campus wide compliance with governing academic and administrative policies and procedures. This position serves as a communications link and resource between Enrollment Services and other administrators; staff, faculty, students, committees and the public. Main duties include providing credit evaluations for students, generating Academic Advisement Reports, processing applications for graduation, and verifying and posting degrees. This position also provides Enrollment Services support to students by providing assistance with admissions, registration, transcript requests, and schedule changes.

Duties and Responsibilities
Exercise initiative in problem solving with an ability to work under pressure and multitask with a high degree of accuracy and attention to detail in an extremely busy, public office environment. Responsibilities include, but are not limited to:

Credit Evaluation

  • Coordinate all aspects of credit evaluation
  • Analyze and evaluate a wide variety of educational courses and credentials for academic programs including military training and Academic Credit for Prior Learning
  • Accurately enter transcript information into ctcLink
  • Review transfer course equivalencies and update ctcLink as needed
  • Convert legacy transcript records to ctcLink, as needed
  • Inform students of eligibility for credential, remaining certificate/degree requirements, or awarding of transfer credit
  • Provide quality customer service and independently resolve student issues regarding graduation and evaluation policies, procedures, and regulations
  • Run Academic Advisement Reports in ctcLink for use in evaluation of the completion of graduation requirements;
  • Review AARs to verify accuracy of audit results, identify discrepancies with the catalog and update and create as necessary
  • Research, maintain, and interpret current and former academic policies and procedures for degrees or certificates as well as other applicable standards, rules and regulations.
  • Accurately process graduation applications and submit to Director of Enrollment Services for approval.
  • After receipt of graduation application, timely communication with students and advisors about graduate’s degree progress.
  • Work with faculty, staff, and other organizations as needed concerning academic matters and degree requirements. Train staff on tasks related to credentials/graduation functions.
  • Represent as a delegate on the Curriculum Review Committee and Instruction Council.
  • Answer phone lines and emails, responding to messages in a timely, professional manner

Commencement Coordinator

  • Coordinate all commencement ceremony preparations: order student, college employee, and trustee caps and gowns, compile list of graduating students to be submitted to the Public Information Office, determine honors, perform set-up/tear-down.

Enrollment Services

  • As needed, process applications, register students, process enrollment forms, answer phone and present general information relating to degree requirements and college policies.
  • Provide quality customer service and Independently resolve student issues regarding graduation and evaluation policies, procedures and regulations;
  • Answer phone lines and emails, responding to messages in a timely, professional manner;
  • Answer telephones providing a welcoming greeting and helpful information. Refer to other staff or departments as needed.
  • Answer visitor questions and if needed refer visitors to appropriate person/department.
  • Accurately explain applicable college, state and/or federal regulations, academic policies and procedures to students, faculty, administrators, staff and public through written and electronic correspondence, phone, and in person contacts.
  • Use computer programs such as MS Word, Excel, PowerPoint, and Student Management System (SMS); and performs electronic mail tasks to complete tasks.
  • Provide guidance to student workers on registration tasks, filing, and updates.
  • Build and maintain positive and constructive peer relationships that directly contribute to high workplace morale.
  • Assist with recruiting as needed.
  • May direct the work of others.
  • Other duties as assigned.

High school graduation or equivalent


Two years of experience in the program specialty


Equivalent education/experience.
