Job Title Department Administrator
Job Description
The Department Administrator directs and executes the administrative, human resources, and financial functions of the Department of Chemical and Biomolecular Engineering.  Reporting to and under the direction of the Department Chair, this position provides planning and management for the administrative operations of the department and fosters a collaborative, equitable, and inclusive environment, while leading a team of five administrative staff members.  The Department Administrator will oversee implementation and compliance with the policies and procedures of the University and ensure an efficient, high-functioning infrastructure to support the department’s financial, academic and research goals, and strategic initiatives. This position also serves as an interface to a variety of stakeholders across Notre Dame, as it carries out its instructional and research missions.
Office management and supervision:  formulates and implements strategies for effective department administration; organizes and supervises five full-time administrative staff and together, they carry out the day-to-day operations of the department and liaison with and support its faculty, graduate and undergraduate students, and visitors; these efforts include HR/payroll, procurement, undergraduate and graduate program administration, department events and communications, public relations, and facilities coordination.
Financial management:  in collaboration with the Department Chair, plans, executes, and monitors departmental unrestricted and restricted funds; balances CBE budgets to approved allocations, forecasts departmental spending, and works with department faculty and University departments (e.g. ND Research, RSPA, etc.) to ensure accurate and timely processing of the restricted and unrestricted funds maintained by department faculty.
Personnel administration:  prepares packets for faculty appointments, renewals, promotion/tenure cases, and separations; prepares annual performance evaluations for administrative staff and provides regular feedback on goal progression; consults with supervisors on hiring, performance management, and problem resolution and serves as a liaison between the department, the college, and HR on personnel matters. Coordinates appointments of postdoctoral scholars and research visitors.
Coordination and reporting:  acts as the primary administrative point-of-contact with divisions across campus, including but not limited to the College of Engineering, the Office of the Provost, Human Resources, ND Research, the Registrar’s Office, etc.; compiles and analyzes departmental data for various meetings and reports; and completes various other special projects and responsibilities, as assigned.
Minimum Qualifications
• Bachelor’s degree and at least 3 years of experience. 
• management and leadership experience, along with administrative and financial management expertise (preferably in a university environment) 
• the ability to organize and manage operations, while working effectively with faculty, staff, students, and other internal and external stakeholders 
• excellent analytical, organizational, problem solving, and verbal and written communication skills 
• must be self-motivated, flexible, able to set and achieve priorities, and demonstrate a professional demeanor with the ability to provide excellent customer service to a diverse audience
