This position manages the day to day operations of the Admissions area under supervision of the Registrar. The Officer assist in the development of policies, procedures and best practices for the admissions area including applications and incoming transcript processing, customer service inquiries back end ad hoc processes and enrollment reporting. The position monitors work quality across the college and staff performance of direct reports within the office. The Officer acts as a resource to college personnel providing training and assistance with inquiries related to the enrollment process.

Preferred Qualifications
  • Five years of experience in higher education with a minimum of two years in a supervisory/management position
  • Strong knowledge of relevant technologies with proficient technical and analytical abilities
  • Experience in supervising, hiring, training and development and evaluating professional and/or support staff.
  • Demonstrated experience in collaborating and communicating with students, student services staff, faculty, colleagues and administrators

Supplemental Job Information
The Academic Records Officer is responsible for the following
  • Assist the Registrar with identifying and resolving issues with policy and procedure related to the enrollment process
  • Provides training to district and campus Admissions and Registration staff to ensure consistency across the college
  • Serves as liaison between district and campus departments for the distribution and interpretation of admissions policies
  • Assigns and reviews the work of team members to include full time, part time, temporary and FWS
  • Coordinates work schedules and back-up processing assistance of staff during peak season, absences or vacancies to ensure coverage
  • Administrator for Recruiter (CRM) application software, DAVID (residency verifications) and Florida Shines (transient students) and staff access to these various systems
  • Manages the distribution of admissions communications to students
  • Manages FLEID assignment process
  • Assist with the research, review and resolution of admissions and registration petitions, appeals, requests, and other related documents
  • Assist with enrollment reporting to National Student Clearinghouse
  • Manages application review and processing including dual enrollment, transient, PSAV, Transfer Partnership Programs (FUSE, IGNITE)
Manages incoming transcript processing to include automated and ad hoc transcript request, transcript entry and review
Ensures students’ program codes and enrollment status are updated as needed
  • Develops and maintains admissions back end ad hoc processing schedules for the office operations calendar
  • Collaborates with campus staff to attend on and off campus admissions events
  • May assign staff or directly assist campus Admissions offices during registration periods
  • Serves on ad hoc committees as needed
  • Serves as department leader as needed
  • Some travel and extended hours may be required
  • Performs related duties as assigned.
