This position performs work using knowledge and experience specific to the Office of Diversity, Equity, & Inclusion (ODEI). This position has extensive daily interaction with current and prospective students by providing information regarding campus policies, procedures, and activities. The program coordinator will provide culturally relevant and professional customer service and is also responsible for coordinating a variety of office administrative functions. This position will monitor and maintain relevant budgets, submit budgetary paperwork in a timely manner, and track expenditures in multiple budgets on an ongoing basis. Moreover, the program coordinator will be in charge of managing the Book Loan Program, ODEI website, ODEI social media accounts, and supervising the student employee Office Assistants.

Position Responsibilities
General Program Duties
  • Coordinate and maintain accurate records and information related to: ODEI services and functions, budget, inventory, planning, programing, purchasing, implementation, and evaluation of departmental initiatives, including electronic and hard-copy files, and electronic databases.
  • Coordinate and maintain the schedules of part-time ODEI staff, schedule appointments for department staff as well as meeting rooms, post notices related to meetings, send weekly reminders, follow-up and track action items and deadlines
  • Provide information to students, staff, faculty, program participants and/or the public regarding services provided, policies, and activities
  • Utilize knowledge and expertise of diversity, equity & inclusion matters in office operations and with on campus partnerships
  • Develop and maintain a working knowledge of local community organizations and service providers in order to respond to/refer inquires appropriately
  • Actively listen and exercise independent judgement and critical thinking skills to determine the needs of students and others served
  • Develop and maintain a working knowledge of the services provided by departments within the Student Affairs and Instruction divisions in order to respond to and/or refer inquiries appropriately and accurately
  • Support the functions of ODEI’s operations and services (Book Loan Program, Bilingual Services, Diversity Educational Series, Programming Logistics, Social Media and ODEI Website Content)
  • Submit budget reconciliation for monthly expenditures
Book Loan Program
  • Maintain and oversee ODEI’s Book Loan Program including assessing book inventory, purchasing new books, coordinating with the BookStore, leading Book Loan orientations, reviewing ODEI intake forms, and communicating with faculty, staff and students as needed regarding ODEI’s Book Loan Program process
  • Communicate with students, the Book Store, faculty, staff as needed regarding ODEI’s Book Loan Program.
Communication/ Social Media Duties
  • Coordinate, update, and grow ODEI’s social media accounts and online presence
  • Maintain and update ODEI website content and information as needed
  • Follow-up with current and prospective students through phone, mail, and electronic communication as it pertains to enrollment, retention and completion
  • Provide culturally responsive customer service in person, over the phone, and via email to current and prospective students, faculty, staff, and the general public related to all ODEI services and general college services, policies and procedures
  • Communicate clearly and effectively with the various diverse populations and groups outside and within Green River
Office Assistants Supervision and Management
  • Recruit, Assist in hiring, Supervise, train, and manage ODEI’s Office Assistants, schedule and facilitate bi/weekly office assistant meetings, report meeting updates to the Director
  • Approve Office Assistant TLRs
Programming Engagement and Participation
  • Actively participate in the planning and implementation of the Diversity Educational Series
  • Promote ODEI programming such as the Diversity Educational Series through social media outlets
  • Assist in the distribution of flyers across campus
  • Send out e-mail notifications to students, staff, and faculty as requested
Administrative Tasks
  • As assigned, take notes at meetings, save/file electronically, and disperse final draft to appropriate persons/departments in a timely manner
  • With delegated authority, lead and train part-time and work study staff and volunteers of helping students through ODEI services
  • Maintain and oversee ODEI volunteers applications and duties
  • Maintain familiarity with all college policies and procedures, especially those related to enrollment functions and FERPA
  • Ensure and coordinate ODEI front desk coverage
Budget Responsibilities
  • Complete contract and requisition paperwork for all ODEI related functions such as payment for speakers, purchasing materials, office supplies, travel paperwork, and conference paperwork
  • Complete travel authorization forms and coordination for ODEI per the Director’s request
  • Complete space reservations for on campus ODEI functions such as meetings and events
  • Complete food orders as needed for ODEI functions
  • Monitor, coordinate, and oversee the departmental purchasing card (P-Card)
  • Perform related duties as required by the Director

Other Duties as Required
  • Keep professionally current by participating in trainings related to: budget management, social media content, book loan program, leadership development, diversity, equity & inclusion, serving first-generation, students of color, and underrepresented students.
  • Perform other duties as assigned


Minimum Qualifications

  • High school graduation or equivalent
  • One (1) year experience in a fast-paced dynamic office setting
  • Demonstrated experience expertise, cultural competencies, and commitment to equity in working with students, communities, and colleagues from diverse backgrounds and identities. Demonstrated experience representing and serving students of color and under-represented communities
  • Demonstrated proficiency in Microsoft Office suite (Word, Excel, PowerPoint, and Outlook) and general office equipment
  • Strong, efficient, and accurate organizational, budgeting and tracking skills

Preferred Qualifications
  • Associates Degree
  • Ability to speak, write, and translate in a language other than English
  • Proven record of high quality performance, including but not limited to excellent culturally relevant customer service with diverse populations, punctuality, attendance, accuracy, etc.
  • Experience with or knowledge of the Washington State Community and Technical Colleges system .Knowledge of the multicultural communities of South King County.
